Horizon Health is seeking a Program Secretary to join our team at Abbeville General Hospital in Abbeville, LA. This role supports a 16-bed inpatient psychiatric unit serving adults aged 18 and older.

About the role

The Program Secretary handles daily administrative duties for the Behavioral Health Program and assists the Program Director. This position also includes Human Resources responsibilities such as applicant tracking and onboarding.

Responsibilities

  • Answer phones and prepare correspondence, recurring reports, and special reports; coordinate typing, distribution, and filing.
  • Schedule meetings and appointments; greet visitors, patients, and their families.
  • Facilitate special events as needed.
  • Coordinate with supervisors and corporate HR during pre/post-employment processes, ensuring timely completion of I-9 and new hire forms in compliance with regulatory and policy requirements.
  • Create and maintain new hire/rehire personnel files; ensure corporate HR receives copies of all required documents.
  • Maintain schedule for filing court paperwork and hearings; collaborate with court personnel to build strong relationships.
  • Review and verify accuracy of incoming invoices and expense reports before forwarding to the appropriate recipient.
  • Order office supplies and oversee maintenance of office equipment.
  • Provide data entry support, including HBIPS, CQI, census, training documents, and audits.
  • Perform other duties as assigned or required by the position.

Qualifications

  • High school diploma or GED required; Bachelor’s degree preferred.
  • 1-3 years of experience in a similar role.
  • Valid driver’s license and access to an automobile.
  • Commitment to professional growth through educational programs, in-service meetings, and workshops.
  • Maintain required certifications and competencies in patient management protocols, state/regulatory, hospital, and Horizon standards.
  • Knowledge of hospital and departmental policies, objectives, quality improvement programs, safety, environmental, and infection control standards.
  • Basic understanding of hospital and Horizon senior staff and organizational structure.
