Key Responsibilities
- Process new referrals in line with VITAS Healthcare Corporation’s policies.
- Offer and confirm same-day appointments based on patient and referral source requests.
- Participate in morning check-in meetings to review staffing and scheduling needs.
- Collaborate with Director of Admissions to maintain adequate resources in the admission scheduling tool.
- Provide a high level of customer service in all interactions.
- Log in to and remain on the Cisco Phone System during work shifts to handle incoming calls.
- Communicate and collaborate with Program Admissions, Care Connection Center Intake, and Sales teams for efficient resource dispatching.
- Record, monitor, and review calls for training, quality, and performance feedback.
- Support the Admissions team to achieve program goals.
- Maintain rapport and effective relationships with internal and external customers.
- Enter accurate information to ensure data integrity in computer applications.
- Respond accurately to all questions about services provided.
- Escalate issues to Director of Admissions or Admissions clinical staff as needed.
- Participate in ongoing training and development based on healthcare changes.
- Notify Admissions/Sales staff of all scheduled appointments according to standards.
- Utilize scheduling tools to facilitate and update appointments effectively.
Qualifications
- Two or more years of related experience in medical terminology or administrative/business office environments.
- Ability to work in a fast-paced, dynamic environment and exercise sound judgment.
- Excellent verbal and written communication skills, particularly in providing concierge-level service.
- Working knowledge of computers, internet access, and proficiency in navigating automated systems and typing at least 45 words per minute.
- Prior experience collaborating with other functional leaders to implement action plans.
- Highly organized with the ability to manage multiple tasks simultaneously.

- Effective communication skills with department heads, managers, coworkers, and vendors to resolve issues and negotiate solutions.
Education: High school diploma or equivalent preferred, with a basic understanding of medical terminology and business office operations.
