About the role

The Programs Operations Coordinator is a new position in Summer Search NYC, reporting to and collaborating closely with the Associate Director of Program Partnerships. This role serves as the operational backbone of programming, managing the behind-the-scenes logistics that support the student journey from recruitment to summer experiences. You will interact with summer experience and school partners, students and families, mentors, and other internal teams. This is an opportunity to develop as a nonprofit operations professional while supporting an established program with a dedicated, equity-minded team.

Responsibilities

  • Summer Experience Coordination
    • Support planning and execution of all logistics for 2–4-week summer experiences, including pre-trip requirements such as applications and identification cards.
    • Coordinate logistics for pre- and post-trip student events, including orientations, info-sessions, workshops, and integration events.
    • Support training of site staff in summer experience preparation, family engagement, and annual summer readiness practices.
    • Inform process improvements to streamline and scale existing operations.
    • Manage communication with summer partners to ensure strong customer service and accurate, timely information sharing.
    • Use Salesforce to track the student experience application process and share timely updates.
    • Attend bimonthly to monthly Summer Experience cohort meetings, depending on the season.
    • Stay updated on national insurance policies and guidelines to support site-specific compliance.
  • Outreach Coordination
    • Support planning and execution of annual outreach and recruitment cycles with partner schools to recruit each cohort of Summer Search participants.
    • Develop and distribute outreach materials (presentations, fliers, posters, info sheets) and maintain a calendar of outreach events.
    • Collaborate with school partners, referral networks, and community organizations to maximize visibility and recruit a diverse pool of applicants.
    • Track student interest and applications in Salesforce, ensuring accurate follow-up and communication with students and families.
    • Lead outreach presentations and tabling events at partner schools and community organizations in collaboration with site leadership.
  • Program Operations and Data
    • Support continuous improvement of workflows for recruitment, enrollment, and summer experiences in collaboration with the Associate Director.
    • Partner with national teams to inform systems enhancements, reporting needs, and operational improvements.
    • Maintain high standards for data quality, process consistency, and operational effectiveness across program functions.
    • Support operational projects that strengthen program delivery and organizational effectiveness.
    • Maintain program documentation, operating procedures, and key operational timelines.
    • Ensure alignment between program execution, systems, and reporting requirements.

Requirements

  • Experience: At least 2 years of relevant professional experience in operational or nonprofit program roles, ideally at organizations serving youth from low-income and/or communities of color. Familiarity with participant/student recruitment or experiential summer programs is a plus.
  • Project Management: Ability to create systems and structures to achieve goals, manage multiple workstreams, and motivate others to stay on track.
  • Adaptability: Solutions-oriented, flexible, and curious approach to tackling challenges and unfamiliar scenarios. Willingness to try new things and seek multiple perspectives.
  • Accountability: Holds self and others responsible for processes, decisions, and commitments to drive high-quality outcomes. Responsive to stakeholder needs and follows through on commitments.

  • Language Skills: Professional working proficiency in Spanish is a plus.

Schedule

This is a hybrid role based in Manhattan, with an expectation of 2 in-office days per week (plus an additional day once per month for team meetings) and up to 3 remote days per week. In-person requirements may increase during summer experience preparation and outreach seasons. The role requires flexibility to work occasional evenings and weekends to support student events and programmatic activities during peak periods.

Pay

This is a non-exempt position with pay ranging from $34.01 to $36.06 per hour (equivalent to $66,321 to $70,322 annually). Summer Search is committed to transparent, equitable compensation practices, with salaries benchmarked using current market data and structured within growth-oriented salary bands.
