Provides central support to the global project Management & Operations (M&O) team on a large United States Government (USG)-funded global health project. Under the direction of the Associate Director, M&O, the role focuses on cross-cutting management tasks at the HQ level, working closely with project leadership and backstopping teams to ensure smooth core operations and compliance with internal and external regulations.
Responsibilities
- Provides programmatic, operations, and administrative support to the global operations team, including maintaining project trackers and supporting HQ-level coordination of contractual deliverables, workplans, and no-cost extensions.
- Coordinates routine project meetings and webinars (sending invitations, developing agendas, and collecting presentations).
- Drafts and reviews sub-award packages, providing comments before submission for approval.
- Supports processing of payments for HQ-paid subawards and purchase orders.
- Liaises with subcontractors and vendors, facilitating partner/sub-award communication related to task completion and planning.
- Prepares and submits monthly FFATA reports to Contract Management Services.
- Reviews expense reports and invoices prior to management approval.
- Reviews purchase orders in the finance system of record (HQ only).
- Manages employee and consultant hiring processes, including recruitment, interviewing, and development of scopes of work and RFAs/RFQs/RFPs.
- Serves as the project’s HQ “onboarding champion,” coordinating onboarding and orientation for new HQ staff.
- Maintains and updates project tracking sheets for contractual deliverables and project files.
- Assists in ensuring appropriate use of the document management site by the project team.
- May serve as a mentor to other team members.
- Provides program management support for select core-funded activities.
- May provide support to country teams as needs arise.
Requirements
- Bachelor’s Degree or its international equivalent in Communication and Social Marketing, Economic Development, Education, Health, Nutrition, Research, Technology, Youth, or a related field.
- Project management certification preferred.
- 4+ years of relevant experience with project management principles and practices.
- Prior work experience in a non-governmental organization (NGO), government agency, or private organization.
- International or domestic (US) program development or program management experience preferred.
- Prior work on USG-funded projects preferred.
- English fluency required; fluency in a second language (e.g., French, Spanish, Portuguese, Arabic, Russian) an added advantage.

Work Environment
- Typical office environment.
- Ability to spend long hours at a computer screen and perform repetitive keyboard work.
- Ability to sit and stand for extended periods.

- Proficiency with personal computers/laptops, Microsoft applications (Office 365, SharePoint, Skype/Zoom/Teams), cell phone/mobile technology, and standard office equipment.
- No travel requirements.
Pay
US-based hiring salary range: USD 64,000 – 74,000 annually. International hiring ranges will differ based on location.

- Full-time staff (40 hours/week) receive 18 days of paid vacation per year, 12 sick days per year, and 11 holidays per year. Paid time off is reduced pro rata for employees working less than full-time.
