About the Role

Manages the day-to-day operations of a small or medium-sized university program or department. May supervise staff employees, student workers, programs, or processes. Plans and develops procedures for administering a small or medium-sized department or program. Oversees program expenditures and ensures adherence to budget. Provides guidance to subordinate staff and evaluates performance.

This position is located at the Texas Gulf Coast SBDC Network Region Office, 1455 West Loop South in the Houston Galleria area. The SBDC Network, an off-campus department of the University of Houston, supports entrepreneurs and small business owners throughout the Texas Gulf Coast region through business advising, procurement advising, and training assistance. The continuation of this position is contingent on the continuation of funding from the U.S. Small Business Administration (SBA), the Office of Small Business Programs (OSBP), and the State of Texas at current levels.

Responsibilities

  • Prepare financial and expenditure documents for the department.
  • Prepare and process cash deposits.
  • Manage P-Card expense reports and supporting documentation.
  • Track purchase order status and follow up as needed.
  • Maintain current contract lists and related records.
  • Coordinate food orders for internal events, meetings, and departmental activities.
  • Provide relief front-desk coverage and assist visitors and callers with professionalism.
  • Provide administrative support on special projects and other departmental needs.
  • Maintain a high level of accuracy, confidentiality, and organization when handling financial and administrative information.
  • Prepare or participate in the creation of abstracts, research reports, funding proposals, operations and procedure manuals, and other written material and documentation.
  • Review reports of budgets and activities; prepare ad hoc reports as needed.
  • May administer grants and grant-related communications, scholarships, and other operations.
  • Develop, implement, and maintain appropriate policies and procedures.
  • May serve as property custodian for the department.
  • Perform other job-related duties as assigned.

Requirements

  • Thorough understanding of both theoretical and practical aspects of an analytical, technical, or professional discipline; or basic knowledge of more than one professional discipline.
  • Knowledge of the discipline is normally obtained through a formal, directly job-related 4-year degree from a college or university or an equivalent in-depth specialized training program that is directly related to the type of work being performed.
  • No prior experience required.

Skills

  • Strong organizational skills and attention to detail.
  • Ability to work independently.
  • Proficiency in Microsoft Office, particularly Word and Excel.
  • Strong communication and customer service skills.
