Responsibilities
- Daily
- Follow up on and complete all tasks required to support ongoing program maintenance, program updates, launches, and business rule changes; ensure activities are completed accurately and within established timelines.
- Review funding for VPC accounts daily to ensure all POs are funded for billing.
- Monitor the approved claims report and submitted tickets to ensure no claims are stalled or stuck.
- Ensure all program-specific trackers are current, accurate, and audit-ready, including ServiceNow tickets and LOE scoping forms.
- Approve escalation tickets.
- Weekly
- Lead scheduled touchpoints with J&J: proactively develop agenda topics, facilitate discussions, and distribute meeting minutes following each meeting.
- Manage client and internal stakeholder meetings to ensure project deliverables, business rule updates, and action items progress as planned.
- Maintain a centralized meeting minutes tracker to document decisions, action items, owners, and due dates; provide ongoing follow-up on open items.
- Complete automated reporting used for weekly program review and QBR.
- Update the Weekly Insights tracker with key insights and email the completed tracker to leadership every Monday by end of business.
- Review core program metrics (claims, enrollments, budget performance) with a goal of daily monitoring; identify anomalies, escalate concerns promptly, and capture trends for quarterly reporting.
- Set up meetings with HUB PMs and document any updates that impact metrics; include these insights in the Weekly Insights Tracker.
- Oversee communications tickets to confirm timely responses and resolution.
- Track and monitor escalations to ensure timely closure; discuss escalations on HUB standups as needed.
- Monitor inflight change orders weekly and track updates on the Monthly Budget File – YYYY CO Tracker.
- Bi-weekly
- Manage invoicing: confirm accuracy and timeliness of all monthly invoices.
- Monthly
- Investigate missed KPIs: perform root-cause analysis and document corrective actions.
- Update the client dashboard to ensure accuracy, completeness, and readiness for client visibility.
- Maintain the budget file: validate spend, projections, and variances.
- Quarterly
- Prepare program data in a QBR-ready presentation format; maintain a thorough understanding of the data and insights being presented.
- Adhere to all QBR timelines, milestones, and deliverables established by leadership.
- Consistently document program observations, trends, and key insights within weekly trackers to facilitate meaningful, data-driven QBR updates.
- Prepare accruals to ensure financial accuracy and alignment with program performance.
- Conduct quarterly audits: investigate missed KPIs and duplicate claims; perform root-cause analysis and document corrective actions; collaborate with internal teams to resolve duplicate claims and recoup funds where applicable.
- Annual
- Coordinate BRD renewals and confirmations, oversee required data pulls, and ensure all year-end deliverables are completed accurately and on schedule.
- Update and finalize the upcoming year’s SOW, including submission of all required ServiceNow tickets, completion of project scoping activities, and preparation of supporting documentation for associated change orders.

- Create and utilize HyperCare alerts for all program business rules changes and new program launches; communicate defects immediately to supporting teams and include the Savings Leadership team for awareness and support.
- Conduct FOP reviews to validate accuracy, completeness, and alignment with program requirements; prioritize and respond within 24 hours.
- Monitor project sheets to ensure they are up to date and aligned with program changes and launches.
- Provide mentorship and training to peers where needed.
Physical Demands & Work Environment

- Frequently required to sit for long periods of time, use hands to type, handle or feel, and reach with hands and arms.
- Preferred typing speed: at least 35 words per minute with 97% accuracy.
- Minimal travel flexibility may be required.
- Operates in a professional office environment using standard office equipment (computers, phones, photocopiers, etc.).
