Job Summary
Captures and assists with the operational and financial activities & procedures in the Undergraduate Nursing Department to include academic/student planning, implementation and evaluation to ensure organizational effectiveness & efficiency.
- Provides administrative support to faculty members for academic and program matters.
- Affords assistance to faculty members with timely book orders fulfillment on time each semester.
- Coordinates the operational activities associated with department meetings, which includes, coordination between faculty scheduling, collecting minutes, and update SharePoint with related meeting documents and minutes.
- Coordinates departmental signature events, such as the Nursing Pinning Ceremony, related to the Undergraduate Nursing department, including planning, initiation, coordination, implementation, and evaluation.
- Coordinates special projects and monitors the status and communication to management. Assists in analysis of program data, develops reports and tracking systems in Excel spreadsheets, and oversees activities.
- Communicates and assures student plan of study requirements status and track progress.
- Trains, directs, supervises and evaluates the work of Federal Work Study students or other temporary staff and is highly accountable to the work of the program.
- Provides input and makes recommendations in the preparation of strategic plans of the Undergraduate Nursing department.
- Coordinates and assists the operational and financial activities associated in the department, which include and are not limited to: ordering and ensuring office supplies, invoices, requisitions, parking passes, Kaplan, etc.
- Maintains the Nursing Track numbers, which include, applications, clinical lists, enrollment lists, etc.
- Coordinates and executes the scheduling and implementation of all reimbursement and coordination of travel for Undergraduate Nursing faculty. Manages Travel Authorization Requests (TARs), scheduling conferences, flight, reimbursement submission, and booking hotel.
- Serves as liaison between the Undergraduate Nursing program and enrollment students by resolving any issues and concerns.
- Updates and communicates student application status on department SharePoint site.
- In collaboration with the Department Chair, coordinates the class days and times, and manages enrollment caps and sections.
- Assists with establishing and maintaining academic standards and degree requirements, accreditation matters, as appropriate. Manages the student files and records in accordance with Program and accreditation requirements.
Minimum Qualifications
- Bachelor's degree and two (2) years of office or related experience.
Desired Qualifications
- Experience with Peoplesoft.
- Knowledgeable with Microsoft Office Suite.
