Program Coordinator - NIDHC

Responsibilities

  • Provides administrative support under the direction of a supervisor, including assistance with hiring, purchasing, and tracking progress.
  • Sets up and coordinates internal and external events and meetings, including venue procurement, planning coordination, materials support, and calendar management.
  • Supports a wide range of operational duties: drafting/editing reports, presentations, and spreadsheets.
  • Manages schedules, prepares meeting agendas, takes meeting minutes, and proactively follows up on action items and next steps identified.
  • Maintains and organizes shared electronic files (e.g., Google Drive), ensuring proper document version control and accessibility.
  • Aids in ensuring all required reports are completed and submitted on time.
  • Communicates effectively with internal staff and external customers.
  • Serves as a primary point of contact for external stakeholders, ensuring professional and efficient communication.
  • Schedules meetings with stakeholders and project teams.
  • Aids in contract execution for subawardees; coordinates the collection of quotes, statements of work, and other documentation necessary for award issuance and contract management.
  • Coordinates documentation for Internal Review Board (IRB) submission.
  • Aids in logistics for site visits, program reviews, and multi-agency meetings, including travel arrangements and facility coordination.

Qualifications

  • Education and Experience: Bachelor's Degree required, Minimum of 0 - 2 years experience required.
  • Knowledge, Skills And Abilities: Strong written and verbal communication skills, with the ability to draft clear, professional documents. Knowledge of project coordination principles, office automation tools, and information management best practices. Prior experience or strong foundational knowledge in EMS/emergency medical care, hospital systems, 911 dispatch operations, law enforcement, judicial systems, or operational research is highly desired. Prior administrative support experience to include C-suite experience is preferred. Exceptional ability to manage multiple projects, prioritize shifting deadlines, and maintain meticulous records. Familiarity with federal organizations or military health systems is beneficial but not required. Ability to obtain and maintain a T1 Public Trust background check.
