About the role

The ideal candidate is a highly organized, proactive, and detail-oriented administrative professional who thrives in a fast-paced academic and clinical environment. This individual must be available to work Monday through Friday, 7:30 a.m. to 4:30 p.m., with the ability to work onsite daily during the first six months of employment for training, transitioning to a hybrid schedule thereafter.

Responsibilities

  • Serves as a principal liaison between departments and external constituencies on day-to-day programmatic, operational, and administrative issues.
  • Facilitates seminars, meetings, special projects, and problem resolution efforts.
  • Captures and maintains complete filing systems and documentation related to educational appointments and fellows to ensure compliance with program requirements.
  • Maintains clinical scheduling systems and communicates scheduling changes to clinical staff.
  • Provides administrative support to the Fellowship Program Director.
  • Prepares and submits manuscripts and research protocols.
  • Assesses program needs and recommends short- and long-term goals to support program growth and success.
  • Monitors and administers program and project revenues and expenses.
  • Provides administrative support to the Clinical Programs Manager and clinical providers.
  • Tracks, reviews, and distributes Epic data and reports upon request.
  • Processes departmental work queue billing errors to support professional billing activities.
  • Prepares monthly clinical activity reports for management review and distribution.

Requirements

  • Required: Bachelor's Degree in Business Administration or related field.
  • Preferred: Master's Degree.
  • Required: 3 years Project/program coordination experience.
  • May substitute required education degree with additional years of equivalent experience on a one to one basis.
  • Preferred: 5 years Administrative experience to include two years in a supervisory or managerial capacity in a patient care environment.

  • Experience with Master's degree.
  • Experience with data management, reporting systems such as Epic, budget tracking, and research administration.
