Program Asst/Data Specialist

Key Responsibilities

• Serve as initial point-of-contact for customers and greets guests entering the department.
• Aid programs in organizing contracts, budgets, and files.
• Coordinate and conduct housing workshops, manage appointment scheduling, and follow up with clients for needed documentation.
• Answer telephones, take messages, and forward calls.
• Respond promptly to email inquiries for housing services.
• Prescreen calls, collect documents, and perform data entry for service referrals and completions.
• Develop knowledge of the department's data management and reporting needs.
• Ensure the utilization of appropriate client data collection and reporting systems as new programs are developed.
• Develop forms necessary for intake, tracking, follow-up, and reporting.
• Maintain time logs, mail logs, and client registers.
• Maintain the record system for reports, requests, and personnel information.
• Type, circulate, and mail correspondence.
• Order and distribute office supplies, keeping track of office inventory.
• Absorb customers to ABCD Departments and other social service agencies for additional services, as needed.
• Assist in conducting outreach, scheduling information sessions, and providing general support to the program, as needed.
• Perform other related duties as assigned from time to time.

Skills, Knowledge and Expertise

• A minimum of a high school diploma or equivalent and up to 12 months relevant experience required.
• Demonstrated proficiency in Microsoft Office and Google Workspace.
• Ability to use technology to effectively perform job duties.
• Ability to work sensitively and effectively with individuals of diverse social, economic and cultural backgrounds.
• Bilingual skills in Spanish, Haitian Creole, or Portuguese preferred.

Expected Salary

\$36,527.40 USD. Salary scales are set according to an explicit compensation policy and relevant market data. Due to funding restrictions and our strong focus on internal parity, this salary is thoughtfully aligned with the duties expected for this role, and offers are firm.
