About the role

The University of Virginia School of Medicine (UVA) seeks an experienced, strategic Program Administrator to serve as the operational leader for its NIH-funded Medical Scientist Training Program (MSTP).

Responsibilities

  • Provide comprehensive operational oversight for the MSTP dual-degree program
  • Manage recruitment, admissions coordination, onboarding, and matriculation processes
  • Track trainee progress, milestones, appointment status, and funding across all program phases
  • Oversee the Individual Development Plan (IDP) process and support trainee development
  • Maintain data tracking systems to monitor program metrics and performance indicators
  • Coordinate curriculum integration and transitions between MD and PhD training environments
  • Lead data collection, reporting, and documentation processes to support NIH T32 progress reports, renewals, and institutional reviews; ensure compliance with NIH T32 requirements, accreditation standards, and institutional policies throughout.
  • Career development and mentoring
  • Manage all MSTP programmatic events and activities
  • Coordinate multi-source trainee funding, including stipends, tuition, benefits, and other program support, to ensure continuity across training phases
  • Identify and mitigate administrative, compliance, or progression risks while advocating for trainees
  • Partner with the faculty leaders to lead the academic vision, mentorship, recruitment, and external representation for the MSTP
  • Safeguard UVA’s investment in physician-scientist training, strengthen program efficiency, and support trainee success
  • Reinforce the program’s competitiveness and positioning it for continued NIH funding

Requirements

  • Education: Bachelor's degree required, master’s degree preferred.
  • Experience: 7+ years of relevant professional experience required.
  • An ideal candidate would have training and/or experience with program evaluation and training outcomes assessment.
