Program Administrator
About the Role
We are looking for a detail-oriented and organized Program Administrator to support the National Account Team Lead and other Program Managers. This behind-the-scenes role involves managing multiple service contracts, ensuring deadlines are met, and maintaining clear communication and customer-specific requirements.
Responsibilities
- Write proposals for customer accounts.
- Understand customer-specific requirements, including applicable discounts, labor/material breakdowns, and taxes.
- Maintain file and document integrity using internal web resources (eBuilder) and local file storage.
- Understand different labor rates for each WTI region and service types, including how they are priced.
- Manage multiple leak response programs, including tracking leak calls and WTI service response times.
- Oversee subcontractor invoices and completion paperwork.
- Work with regional administrators to re-dispatch leak calls and obtain progress updates.
- Collaborate with WTI technicians to request NTE increases on individual leak responses when applicable.
- Track and invoice leak service calls, delivering invoices to customer-specific locations (work order systems, customized email addresses, etc.).
- Manage inspection programs, track roof inspection data, and maintain a master inspection tracker.
- Maintain a weekly schedule for WTI field technicians and Program Manager to share with the customer.
- Input budgets, edit, and categorize recommendations from WTI field technicians.
- Submit reports and files for internal quality control, edit reports based on feedback, and deliver them to the Program Manager or customer.
- Update customer portals with work order status (ETA) and invoices.
- Handle special project assignments and manage daily tasks as directed by the Program Manager.
Requirements
- Technical knowledge of all services that WTI offers (ability to read and understand a price book).
- Superior written, oral, and digital communication skills.
- Proficiency in Microsoft Outlook Email, Microsoft Teams, and Microsoft Excel (required).
- Experience with SmartSheet and SAP.
