About The Role

The Program & Administrative Assistant supports ArtStart Rhinelander's daily operations, facility events, and community outreach. This position ensures our donor records, financial processing, public communications, and vital volunteer programs run smoothly and reliably.

Key Responsibilities

  • Database & Financial Administration: Maintain and update donor and contact databases, process bi-weekly donations and financial deposits, prepare donor acknowledgment letters, and assist with routine bill processing and mail distribution.
  • Marketing & Communications: Coordinate public calendar submissions, assist with print distribution and media contacts, support social media content creation, manage basic website updates (routine content and page text), and monitor main organizational inboxes.
  • Event & Program Support: Coordinate logistics and setup for internal and public meetings, oversee physical event preparations and technology needs, and handle supply procurement and errands as required.
  • Volunteer Coordination: Serve as the primary point of contact for volunteers, managing schedules to ensure operational and event shifts are filled, coordinating volunteer onboarding, tracking hours, and supporting engagement and recognition efforts.

Qualifications

  • Strong organizational skills and high attention to detail.
  • Comfort learning administrative and donor management software.
  • Familiarity with social media platforms and comfortable performing basic web updates.
  • Excellent written and verbal communication skills.
  • Ability to manage recurring tasks independently while collaborating across teams.
  • Passion for community arts and the ArtStart mission.
  • Ability to work occasional evenings and weekends for events.

Pay & Schedule

  • Status: Part-Time | 20–25 hours/week
  • Compensation: $18–$20/hour
