About the role

A Parts Coordinator ensures that all necessary parts are available when needed, thus avoiding potential delays in production or operations. They are crucial for minimizing downtime, maximizing productivity, and reducing costs by ensuring the right parts are available when needed.

Responsibilities

  • Inventory Management: They are responsible for tracking, monitoring, and managing inventory levels, ensuring that stock is sufficient to meet demand.

  • Procurement: They order parts from suppliers, negotiate pricing and delivery times, and ensure accurate record-keeping.

  • Distribution: They handle the distribution of parts to mechanics, technicians, and other internal users, ensuring proper documentation and tracking.

  • Cost Optimization: They identify opportunities to reduce costs by negotiating with suppliers, optimizing inventory levels, and minimizing waste.

  • Downtime Reduction: By ensuring the timely availability of necessary components, they minimize downtime in maintenance and repair operations.

  • Facilitation of Maintenance and Repair: They play a key role in facilitating the smooth functioning of maintenance and repair activities by ensuring the right parts are available when needed. They work closely with suppliers, technicians, and outside contractors.

  • Administrative Support: They provide administrative support to supervisors, managers, and teams, handling tasks such as processing invoices and maintaining records.

  • Reporting: They provide regular reports on parts inventory, usage, and any discrepancies to the supervisor/department lead.

Requirements

  • Experience: 1–3 years of experience in parts coordination, administrative support, or production planning in a manufacturing or industrial environment.

  • Knowledge/Skills/Abilities: Strong organizational and time-management skills with high attention to detail. Proficient in Microsoft Excel, Word, and inventory or maintenance management systems (e.g.,CMMS, ERP). Effective communication skills with the ability to work across teams. Basic understanding of manufacturing processes, preventive maintenance, and inventory principles. Good judgment is required for this position as there may be times when direct supervision may not be immediately available.

  • Physical Demands: Office Roles: Most work is performed in a temperature-controlled office environment. Incumbent may sit for long periods of time at a desk or computer terminal. While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. Incumbent may use calculators, keyboards, telephones, and other office equipment in the course of a normal workday. Stooping, bending, twisting, and reaching may be required in the completion of job duties. Warehouse Roles: Ability to lift up to 75 pounds and to stand, walk, bend, stoop, twist, and turn frequently. Exposed to temperatures ranging from -20 degrees below zero to 35 degrees Fahrenheit in Perishable Operation and 37 degrees to 90 degrees Fahrenheit in Grocery Operation. Ability to do repetitious arm, wrist, and hand movements required for maintenance and service procedures. Must be able to work with hands and arms overhead, and to work in or under the equipment. Requires manual dexterity, overall coordination, and good balance to work both at ground level and in high places to perform job duties.
