Our client, a well-known insurance company, is looking for a freelance Production Coordinator to join their NYC team for the next year, with potential to extend. This is a hybrid role, onsite 3 days per week (Tuesday - Thursday) and remote Monday + Friday.The freelance Production Coordinator will:Coordinate the end-to-end execution of Direct Mail, Print, and Stationery campaigns, managing multiple projects simultaneously from intake through production, vendor coordination, delivery, and reporting to ensure all deadlines are met. Review artwork, data files, vendor proofs, and programming instructions to identify and resolve errors, maintain quality standards, and ensure successful production outcomes across all print and direct mail initiatives. Manage financial aspects of production projects, including obtaining estimates, evaluating vendor bids, issuing purchase orders, reconciling invoices, monitoring postage expenses, and supporting budget tracking. Partner with internal stakeholders and external vendors to oversee production schedules, maintain service quality, support compliance requirements, manage inventory and warehousing needs, and ensure vendor accountability for delivery and performance. Support vendor contracts and Statements of Work (SOWs), document processes and workflows, develop reporting, and become a subject matter expert on supported platforms and production operations.The freelance Production Coordinator has:Bachelor's degree required with 3+ years of experience in production coordination, project management, operations, direct mail, print production, or a related field. Strong project management, process management, and organizational skills with the ability to manage multiple deadlines and priorities in a fast-paced environment. Exceptional attention to detail, proofreading, and quality control capabilities, with experience reviewing production materials and ensuring accuracy before deployment. Data-oriented mindset with the ability to work with production data, reporting, and variable data programming instructions. Experience managing production budgets, estimates, purchase orders, invoice reconciliation, and other financial tracking responsibilities. Excellent communication and stakeholder management skills, with the ability to work effectively across internal teams, vendors, sourcing, procurement, and compliance partners. Proficiency with Microsoft Office and comfort learning and utilizing platforms such as Adobe Workfront, Ariba, and AI-enabled tools. Experience within direct mail, print production, financial services, insurance, or other regulated industries is preferred. Strong problem-solving abilities, customer-service orientation, and the capability to work independently while maintaining a high level of accuracy and accountability.
