About the role

The Production Coordinator is responsible for ensuring every roofing project is fully prepared for installation, supported throughout production, accurately documented, and successfully closed out. This role serves as the primary liaison among customers, field crews, vendors, inspectors, and the office to keep projects moving efficiently and prevent avoidable delays.

Responsibilities

  • Own the “Job Ready” process and confirm that contracts, scopes, permits, inspection requirements, crews, customer notifications, special-order materials, and installation notes are complete before a project is scheduled.
  • Serve as the primary office contact for field crews, including daily schedule review, installation support, weather-delay coordination, material-shortage resolution, and communication of field updates to management.
  • Cook up material logistics by reviewing orders, ordering specialty items, confirming delivery dates, resolving missing materials, and arranging returns when necessary.
  • Ensure all change orders and additional work are properly photographed, measured, documented, approved, and billed before project closeout.
  • Maintain complete field documentation, including tear-off, deck-condition, repair, progress, completion, and inspection photos and records.
  • Cook up inspections, ladder drop-offs and pickups, inspection results, required corrections, and re-inspections.
  • Own punch list items and workmanship warranty repairs from initial request through scheduling, completion verification, customer communication, and file closure.
  • Complete production closeout by confirming all work, documentation, additional billing, punch list items, and customer concerns are resolved before final invoicing.
  • Serve as the primary customer contact during production by confirming selections, scheduling installation, providing pre-installation instructions, communicating delays and milestones, coordinating property access, and confirming completion.

AccuLynx Responsibilities

  • Maintain complete and accurate project records from release to production through final closeout.
  • Review job files for production readiness and document schedules, crew assignments, material status, inspections, and project updates.
  • Upload and organize photographs, change-order documentation, approvals, completion records, and customer communications.
  • Track outstanding production tasks, punch list items, warranty work, and closeout requirements through reports and dashboards.
  • Ensure completed job files are accurate and ready for billing and final project closure.

Qualifications & Experience

  • Roofing, construction, or production coordination experience preferred.
  • Fluent in English and Spanish is required.
  • Proficiency with AccuLynx or a similar roofing CRM and project management platform.
  • Excellent communication, customer service, and organizational skills.
  • Strong attention to detail and the ability to manage multiple projects and deadlines simultaneously.
  • Ability to prioritize changing needs, solve problems quickly, and maintain consistent follow-through in a fast-paced environment.
  • Comfort communicating with homeowners, field crews, vendors, inspectors, and internal leadership.

Work Environment & Expectations

  • Primarily office-based role with continuous phone, email, and system communication throughout the workday.
  • Regular coordination with active residential roofing projects, field crews, material suppliers, and local inspection departments.
  • Occasional visits to project sites may be required to support production, inspections, punch lists, or warranty coordination.
  • Ability to remain responsive during active production hours and adapt to weather delays, schedule changes, and urgent field needs.
  • Regular use of computers, mobile devices, AccuLynx, cameras, and other technology for communication and documentation.
  • Perform other duties and responsibilities as assigned by management to support business needs and operational priorities.
