About the role

The Production Assistant Lead position supports the San Diego, California location of Propulsion Controls Engineering. This role oversees administrative matters for the Production Office, including copying new work orders, typing inspection deficiency reports, sending and tracking submitted reports, organizing job files, maintaining the Technical Library, and managing office supplies and equipment.

Responsibilities

  • Makes copies of new work orders and distributes them to Project Managers for distribution.
  • Typing Inspection Deficiency Reports (IDRs) and/or Contract Change Requests (CFRs) submitted by Project Managers and sends and tracks these reports to customers and Prime Contractors.
  • Filings all applicable responses to submitted reports by work item and work order number.
  • Notifies the appropriate Project Manager(s) when required reports are rejected.
  • Organizes job files and maintains the Technical Library filing system.
  • Archives job files when all production work is complete on work orders.
  • Maintains job file integrity throughout the life cycle of work orders.
  • Maintains the Project Managers' weekend duty schedule on the Outlook Calendar.
  • Orders and prints new technical manuals, drawings, and test memos for Supervisors and Managers and adds them to the network share drive.
  • Maintains the Technical Library references up-to-date.
  • Takes accurate minutes of meetings and drafts basic administrative memos and letters.
  • Responds to business needs during non-business hours as needed.

Requirements and Qualifications

  • High school diploma/GED required.
  • Completion of college courses with Business Major emphasis preferred, minimum 2 years.
  • Minimum 3 years experience in an office environment.
  • Superb written and oral communication skills, excellent listening skills, and strong leadership abilities.
  • Understanding of the job management system and billing process.
  • Ability to work independently with minimal supervision.
  • Excellent filing and organizational skills.
  • Experience working with Managers and Supervisors at all levels.
  • Outstanding phone and customer service skills.
  • Desire to practice integrity and professionalism in all aspects of the business.
  • Proficiency in Microsoft Office applications (Excel, Word, Outlook), with emphasis on Excel.
  • Extensive knowledge of ship repair specifications and associated trades.
  • Proven problem-solving, conflict-resolution, and team-building competencies.
  • Ability to read and interpret Standard Drawings, Navy Standard Items, and Navy Quality Management Systems.
