About the Role
At Grimes Insurance & Iron Insurance Partners, a Production Assistant is an integral part of our Personal Lines Production Team. This role performs a wide range of duties to support the team and contribute to the growth of the agency by providing exceptional service to our clients. The ideal Production Assistant enjoys interacting with clients through email, phone conversations, and in-person office visits. They provide administrative support to the entire Personal Lines team while building strong, lasting relationships with both clients and fellow team members. Through professionalism, attention to detail, and a commitment to service, the Production Assistant helps deliver the high level of support and customer experience that defines Iron Insurance Partners.
Responsibilities
- Serve as the first point of contact for our office, welcoming guests and greeting visitors.
- Coordinate front-desk activities, including distribution of correspondence and redirecting phone calls.
- Answer, screen, and forward incoming phone calls.
- Receive visitors at the front desk by greeting, welcoming, directing, and announcing them appropriately.
- Post daily deposits for checks.
- Handle mail distribution and drop-off, including USPS, UPS, FEDEX, etc.
- Order office supplies and kitchen supplies and maintain inventory.
- Manage office opening and closing procedures.
- Adhere to all standard operating procedures.
- Maintain company and employee confidentiality.
- Process Personal Lines policy changes (mortgagee, loss payee, auto changes, etc.) and issue certificates, ID cards, and EPIs as requested by the Personal Lines team.
- Prepare Stewardship folders, postcards, and other miscellaneous mail and administrative tasks.
- Process quotes on carrier sites.
- Review pre-month end reports for confirmation of accurate and timely renewal of all policies.
- Function efficiently in all systems and adhere to consistent execution of all production processes.
- Review and resolve discrepancy memos.
- Perform other tasks as assigned by CSA team members or management.
