Production Administrative Assistant
About the role
The Production Administrative Assistant will play a key role in supporting the administrative functions of the Production Department in our San Jose office. This position will be cross-trained to assist with a variety of tasks including union workforce dispatch support, employee record updates, in-person onboarding assistance, event coordination, and general administrative support.
Responsibilities
- Support the processing of union new hire records for the organization with speed and accuracy.
- Maintain and update personnel files and employee records in various platforms.
- Greet new hires and support in-person onboarding processes.
- Aid in union dispatch support, including employee tracking and document updates.
- Provide logistical and administrative support for Production Department events and meetings.
- Perform data entry and file management in accordance with department standards.
- Collaborate with other administrative staff to ensure timely and accurate completion of shared tasks.
- Maintain confidentiality of sensitive employee and company information.
Requirements
- Strong keyboarding and data entry skills with proven accuracy and speed.
- Proficient in Microsoft Office (Word, Excel, Outlook); experience with SharePoint or other HRIS platforms is a plus.
- Excellent attention to detail and organizational skills.
- Ability to work independently and collaboratively in a team environment.
- Comfortable sitting at a desk and performing repetitive tasks for extended periods.
- Strong interpersonal and communication skills; able to interact professionally with internal staff and new hires.
Qualifications
- Education: High School Diploma or GED required. Some college preferred.
- Experience: 2+ years of experience in an administrative or data entry role, preferably in a fast-paced or high-volume environment.
