Procurement Support Specialist

Responsibilities

  • Respond promptly to communications from the Accounts Payable Department within Coupa.
  • Cook up solutions for discrepancies found on the invoices.
  • Work alongside Accounts Payable, Material Management, and Expeditors to ensure invoice accuracy.
  • Build and nurture relationships with key vendor suppliers and contacts.
  • Attend training to enhance knowledge and skills within the department.
  • Resolve vendor grievances and claims against SI as directed, as well as those claims against the vendor by SI.
  • Adjust POs in accordance with direction received from the Project Team.
  • Close out purchase orders on projects.
  • Obtain lien waivers as required by either Saulsbury’s’ or client contractual obligation.
  • Arrange meetings and provide updates to project teams on closeout progress monthly.
  • Complete and distribute closeout deliverables.

Requirements

  • A high school diploma.
  • At least 2 years of direct experience in Purchasing or Accounting.
  • Familiarity with pipe, fittings, flanges, electrical, and instrumentation materials.
  • Advanced skills in data entry, Microsoft Office Suites, and Coupa.
  • Excellent interpersonal and communication skills, including advanced skills in transportation.
  • Strong understanding of materials management practices and challenges in the industrial construction industry.
  • Excellent problem-solving skills to address materials-related challenges and maintain smooth operations.
  • Effective communication and interpersonal skills to coordinate with various stakeholders and team members.
  • Proficient in using materials management software, Coupa, and Microsoft Office Suite.
  • Meticulous attention to detail to ensure accurate inventory tracking and documentation.
  • Strong organizational and time-management skills to prioritize tasks and meet deadlines.
  • Ability to adapt to changing project needs and navigate potential challenges in materials management.

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer.
  • Ability to stand for extended periods of time.
