Key Responsibilities
- Review and process daily activities in the MRP system to identify required purchasing actions.
- Cook up with suppliers on matters such as drawing updates, order changes, cancellations, and rescheduling.
- Ensure on-time order fulfillment by addressing supplier delays and resolving potential scheduling conflicts.
- Regularly update order acknowledgment dates in the system and document relevant comments or adjustments.
- Monitor and resolve shortages in existing backlogs, providing notifications to the planning department and management when delays could impact production schedules or on-time delivery.
- Track inventory levels to ensure availability for production needs while maintaining optimal stock levels.
- Ensure all orders meet established profit margin requirements and align with company policies.
- Address and resolve purchase order and invoicing discrepancies.
- Perform data entry and maintain accurate records of purchasing activities, including creating and managing necessary documents such as invoices and purchase orders.
- Maintain close communication with suppliers, internal departments, and stakeholders to promote efficient order processing and resolve any procurement-related issues.
- Work collaboratively with planning, logistics, and management teams to ensure smooth procurement operations.
Additional Duties
- Participate in special assignments and projects as directed by management to improve processes or support departmental goals.
Skills & Competencies
- Communication: Exceptional oral and written communication skills.
- Ability to effectively communicate and collaborate with diverse teams, including internal staff and external suppliers.
- Systems & Technology: Proficiency in word processing, spreadsheets, and additional computer applications. Familiarity with MRP (Material Requirements Planning) systems and other ERP software tools is preferred.
- Analytical Abilities: Advanced mathematical skills for cost calculations and data analysis. Must demonstrate an ability to identify and solve discrepancies in purchase orders and invoices.
- Organizational Excellence: Strong multitasking, organizational, and time management skills. Proven ability to prioritize tasks, pay close attention to detail, and meet stringent deadlines.
- Interpersonal Skills: Highly developed interpersonal skills to collaborate effectively with different levels of the organization and external partners.
