We are looking for a Procurement Specialist to support procurement and supply chain activities for federally funded energy-related projects and day-to-day operational purchasing. This Long-term Contract position will focus on coordinating sourcing activities, maintaining accurate procurement documentation, and helping ensure adherence to grant-related regulations and reimbursement requirements. The ideal candidate brings strong organizational skills, sound purchasing knowledge, and the ability to work effectively with vendors and internal stakeholders in a detail-driven environment. Responsibilities: • Manage purchasing requests for materials and services by preparing and issuing purchase orders, contracts, and related procurement documents to suppliers with relevant experience. • Collect and assess supplier pricing, lead times, and commercial terms to support timely and cost-effective purchasing decisions. • Follow up with vendors to accelerate deliveries and resolve order issues so project timelines and operational needs remain on track. • Prepare solicitation packages such as RFQs and RFPs, and coordinate the distribution, collection, and documentation of supplier responses. • Review bid submissions and assemble comparison summaries that support procurement recommendations based on business and technical considerations. • Administer procurement activities tied to federally funded projects, including support for compliance documentation related to domestic sourcing, labor standards, foreign participation disclosures, and other grant conditions. • Maintain organized records for purchasing activity, vendor files, and supporting documentation required for reimbursement requests and audit readiness. • Research supplier qualifications, sourcing data, and material origin details to help address compliance questions and support waiver or exception requests when needed. • Track procurement data, material movement, project costs, and performance metrics using spreadsheets and reporting tools to provide clear visibility into purchasing activity. • Communicate with vendors, contractors, consultants, and internal teams to coordinate procurement actions, clarify requirements, and ensure documentation is complete and accurate. • 2+ years of experience in procurement, purchasing, supply chain support, or a closely related administrative role. • Practical knowledge of purchase orders, vendor coordination, sourcing processes, and general procurement operations. • Experience maintaining accurate records, vendor files, and procurement documentation in a structured business environment. • Proficiency with Microsoft Excel, including formulas and data tracking, along with working knowledge of Microsoft Word. • Ability to analyze pricing, project costs, and procurement details to support informed decision-making and compliance review. • Strong written and verbal communication skills with the ability to work effectively across internal teams and external suppliers. • Excellent organizational skills and attention to detail, with the ability to manage multiple priorities and deadlines. • Familiarity with regulated or grant-supported procurement environments is preferred, especially where compliance documentation is required.
