Key Responsibilities
- Purchase Order Issuance and Lifecycle Management (Primary)
- Maintain PO status from issuance through delivery, acceptance, invoicing, and close-out.
- Resolve delays, discrepancies, and scope changes before they impact project schedules.
- Administer PO amendments, change orders, and extensions in coordination with project managers and Legal.
- Execute all POs in compliance with company policy, contract terms, and applicable regulatory requirements.
- Maintain clean, auditable procurement records, including approvals, supporting documentation, and close-out files.
Vendor and Supplier Management
- Evaluate and recommend approved vendors for recurring procurement categories based on performance history and project fit.
- Own supplier onboarding, including documentation collection, insurance verification, and setup in company systems.
- Track supplier performance and raise recurring quality, delivery, or responsiveness issues to the Senior Director, Procurement.
Competitive Solicitation Support
- Support the development and issuance of RFPs and RFIs when competitive sourcing is required for higher-value or novel procurement activities.
- Cook bidder questions, proposal intake, and evaluation logistics with the requesting team.
- Summarize commercial evaluation results and award recommendations for review.
Cross-Functional Collaboration and Process Building
- Partner with engineering, operations, and project management teams to anticipate procurement needs, align on specifications, and hit project schedules.
- Cook with Legal on master service agreements (MSAs), contract terms, indemnity structures, and insurance requirements.
- Improve procurement templates, workflows, and system configuration as spend volume and complexity grow.
- Serve as the day-to-day point of contact for internal stakeholders with procurement questions.
