About the Role

We are seeking a Procurement Associate for Mechanical Equipment who will be responsible for buying the mechanical and plumbing equipment for our OFCI data center construction program and will report to the Director of Procurement - Mechanical. This is a hands-on execution role working under Grey Space category leads. It suits a buyer with 4–6 years of direct procurement experience who knows mechanical equipment—chillers, cooling towers, air handling, pumps—and can run a disciplined PO book in a fast-moving construction environment.

Responsibilities

  • Execute and administer purchase orders for owner-furnished mechanical equipment, including chillers, cooling towers, CRAH/fan wall units, pumps, piping and valve packages, VFDs, and related systems.
  • Support category leads through sourcing events: prepare RFQ documentation, build bid tabulations, and manage supplier communications through award.
  • Expedite long-lead equipment; track production milestones, ship dates, and delivery status against construction schedule milestones, and escalate slippage risk early.
  • Coordinate OFCI delivery logistics with the third-party EPC and site teams, covering freight arrangements, delivery sequencing, offloading and laydown requirements, and receiving documentation.
  • Manage the full PO lifecycle in the ERP: change orders, milestone payment tracking, invoice discrepancy resolution, and closeout.
  • Track vendor submittals, drawing approvals, and factory witness test / factory acceptance test (FAT) schedules; keep documentation moving between vendors, engineering, and the EPC.
  • Support over/short/damage (OS&D) and warranty claims with vendors and freight carriers through resolution.
  • Maintain supplier records, pricing history, and lead-time intelligence for the mechanical category; contribute to supplier scorecards and status reporting.

Requirements

  • 4–6 years of direct procurement experience with hands-on buying responsibility (PO execution and administration) for capital equipment, engineered systems, or construction materials.
  • Demonstrated buying experience in the mechanical discipline: chillers, cooling towers, air handling units, pumps, HVAC packages, or comparable engineered mechanical equipment.
  • Working knowledge of the full procure-to-pay cycle and ERP-based purchasing.
  • Experience managing long-lead equipment, including expediting and delivery risk management.
  • Working command of commercial terms: Incoterms, freight terms, payment milestones, and warranties.
  • Strong Excel and tracking discipline; able to maintain accurate delivery and status data across a large book of open POs.
  • Bachelor's degree in supply chain management, engineering, construction management, or business—or equivalent experience.

Preferred Qualifications

  • Experience in data center, mission-critical, semiconductor, or other heavy industrial construction environments.
  • Familiarity with OFCI/CFCI delivery models and working alongside EPC or GC partners.
  • Exposure to factory witness testing and factory acceptance test coordination.
  • Ability to read mechanical equipment schedules, specifications, and submittals.
  • Microsoft Dynamics 365, Coupa or comparable ERP experience.
  • APICS/ASCM (CPIM, CSCP) or ISM (CPSM) certification.
