Duties and Responsibilities
- Providing a variety of office support and technical assistance to accomplish mail flow throughout the agency.
- Receiving, prepping, and scanning mail into the electronic data management system.
- Interacting with internal and external customers in regards to supply requests and orders, delivery of mail, and questions regarding items scanned.
- Ensuring timeliness and documentation requirements are maintained as mandated by State and County regulations.
- Performing other duties of a similar nature and level as assigned.
Knowledge, Skills And Abilities
- General knowledge of office or work unit procedures, methods, and practices.
- General knowledge of and ability to use correct spelling, punctuation, and specialized vocabulary; ability to proofread.
- General knowledge of office accounting, database management, and record keeping procedures, mathematics, and their application in the work environment.
- Ability to use spreadsheet software applications such as Microsoft Excel or Google Sheets.
- Ability to learn and apply a variety of guidelines.
- Ability to properly handle confidential and sensitive information.
- Ability to use a variety of office equipment.
- Ability to work with people with courtesy and tact.
- Ability to screen communications based on predetermined guidelines to independently respond or route inquiries.
- Ability to record and compile information based on general guidelines.
- Ability to gather and give information and instructions regarding the work process or procedures.
- Ability to balance and reconcile figures.
- Ability to coordinate work of other support staff, student workers, or volunteers.
- Ability to learn to use specialized equipment.
Essential Qualifications
- Demonstrated possession of knowledge, skills, and abilities gained through at least one year of office assistant/secretarial experience; or an equivalent combination of training and experience.
- Associates Degree with extensive advanced experience and knowledge of Microsoft Office and Google Workspace, such as customizing page layouts, catering templates, capturing and recording data, using shortcuts and formula functions, building charts and graphs, sorting and filtering data.
- Preference will be given to individuals who have executive assistant experience.
Preferred Qualifications
- High School Diploma or equivalent.
- Intermediate skill level and knowledge of Microsoft Excel.
- Experience developing, creating, reading, and interpreting database spreadsheets, including managing volume of data entry and filtering through it.
- Valid North Carolina driver's license.
- Notary Public certification or ability to obtain within 90 days of hire.
