About the role

The 17th Judicial District encompasses Adams and Broomfield counties, with office locations in Westminster, Commerce City, and Brighton. This role provides essential customer service and clerical support for probation case management, including front desk reception, case file preparation, data entry, and collaborative interactions with probation officers, supervisors, and judicial staff.

Responsibilities

  • Provide customer service and support for probation staff, serving as the first point of contact for internal and external customers via front desk or phone.
  • Manage jail communications, general email inquiries, and courtesy requests for probation clients and officers.
  • Retrieve data from multiple platforms, including jail data systems, treatment tracking systems, national crime record databases, Department of Corrections requests, district attorney records, and case assignments.
  • Process probation reports, maintain office machines, manage probation officer coverage calendars, and handle shredding bins.
  • Process record requests from attorneys, Department of Corrections, probation departments, courts, and external agencies.
  • Complete judicial case management system and electronic filing tasks, including documentation for pre-sentence investigations, warrant requests, complaints to revoke probation, and special reports.
  • Review documentation for accuracy and timely filing.
  • Create and maintain digital files via SharePoint and other case management systems.
  • Manage sentencing dates to ensure files are processed correctly according to the sentence imposed.
  • Enter appropriate closure codes for cases and manage various file types, including absconder, closed, warrant, and community corrections files.
  • Scan paper files and request additional documentation, such as death certificates, for file purposes.
  • Perform other duties as assigned.

Requirements

  • High school diploma or G.E.D. (additional work experience may substitute for formal education on a year-for-year basis).
  • 1 to 3 years of experience in an administrative field.
  • Comprehensive, practical knowledge of work processes, with the ability to complete a broad range of tasks, sometimes complex, without frequent reference to others.

Work Environment

  • Sedentary work: Exerting up to 10 pounds of force occasionally, with mostly sitting required. Occasional walking and standing.
  • Office or similar indoor environment; occasional exposure to unpleasant conditions or hazards, including hostile or irate individuals, those with violent backgrounds, and communicable diseases.
  • Occasional outside work.
