About the role

As a Prescriber Medical Administrative Assistant (Medical Assistant) at Columbia Mental Health, a member of Transformations Care Network (TCN), you'll be an essential part of our clinical support team. You will provide support for our clients and team members, handling client calls, answering questions, finding solutions to issues, scheduling, and addressing concerns or complaints. This role requires superior customer service skills, professionalism, and the ability to multitask while maintaining compassion for clients and staff.

Responsibilities

  • Answer phones and handle client calls, providing professional and accurate responses to questions and concerns.
  • Guide clients through troubleshooting for telehealth appointments.
  • Call insurance providers for prior authorization and copay information.
  • Assist providers with administrative tasks.
  • Answer general questions about the practice and services provided.
  • Address internal communication questions.
  • Coordinate care between clients and providers.
  • Schedule client appointments.
  • Call in prescriptions to the pharmacy as needed and work on medication prior authorizations.
  • Collaborate with other team members and locations to provide excellent customer service.
  • Help train new team members as needed.
  • Prepare client files for providers.
  • Provide overall psychiatric provider and site support in conjunction with Site Coordinators.
  • Own and manage the medication logbook and download the prescription monitoring report daily for review.
  • Support therapists and psychiatric providers in managing waitlists.
  • Maintain a professional dress code at all times.
  • Help coordinate coverage when short-staffed.
  • Order and maintain all office supplies.
  • Work with and support Clinical Directors and RDO with new initiatives and rollouts.
  • Help train new employees and orient new staff (day one welcome).
  • Ensure all office processes and policies are being followed.
  • Work closely with RDO on overall site management.
  • Perform other duties as assigned.

Qualifications

  • High school diploma or equivalent.
  • Excellent communication skills (written and verbal) and ability to work well with a team, especially in stressful situations.
  • Patient and empathetic attitude, as well as adaptability and flexibility.
  • Strong time management skills, attention to detail, and organizational skills.
  • Computer skills, including familiarity with Google Drive.
  • Phone skills, including familiarity with complex or multi-line phone systems.
  • Ability to maintain client trust and protect operations by keeping client care information confidential.
  • Desire to perform thorough work in a fast-paced environment; must be detail-oriented and highly organized.
  • Ability to maintain a professional appearance and demeanor, and interface well with clients and teammates in a mental health setting.
  • Ability to complete other office tasks as needed.
  • Strong customer service skills.

Pay

The hourly compensation range for this role is $20 – $22. Actual compensation may vary based on licensure, experience, market-driven enhancements, and incentive opportunities.
