Job Summary

About the role

This position requires knowledge of EPIC appointment scheduling and the ability to manage patient appointments, including scheduling, cancelling, and working in appointments. The role involves obtaining required demographics and insurance data, entering information into EPIC, setting up accounts, and ensuring accuracy.

Responsibilities

  • Schedule, cancel, and work in patient appointments using EPIC.
  • Enter required demographics and insurance data into EPIC.
  • Set up accounts, add, and change demographics and insurance information.
  • Merge duplicate records as per protocol.
  • Follow provider preference and office-wide scheduling protocols.
  • Prepare add-on charts and obtain necessary notes, reports, and results from referring providers.
  • Communicate the need for diagnostic testing films and reports as appropriate.
  • Possess strong customer service skills to maintain patient confidence and trust.
  • Communicate with patients, providers, coworkers, and management effectively through both verbal and written means.
  • Knowledgeable in all aspects of insurance referrals, including obtaining necessary insurance authorizations from primary care offices and documenting authorization information in EPIC.
  • Accurately register patients, obtain and enter demographic and billing information, and document notes in EPIC.
  • Identify referrals and submit appropriate requests to the authorization team or notify patients as needed.
  • Stay updated on current billing information and office policies.
  • Document reasons for appointments, referring doctors, and necessary information for secretarial and patient care staff.
  • Triage patients using appropriate questions to determine appointment urgency.
  • Remind patients to bring necessary items such as insurance cards, co-pays, and reports.
  • Communicate office policies to patients, including self-pay, payment due, and options for Health Exchange, par vs. non-par, and liability.
  • Perform other assignments and duties as requested by supervisor.

Requirements

Minimum Qualifications:

  • High school diploma or equivalent.
  • Two years of directly related medical secretary/office experience.
Preferred Qualifications:
  • Work days: Monday - Friday, 8:30 am - 5:00 pm.
