Practice Operations Coordinator
Full-time role supporting ACPWB’s Compensation Intelligence team of 8. You will be the operational backbone, ensuring survey administration, client-service logistics, and analytical workflows run smoothly.
Responsibilities
- Coordinate across internal teams to ensure seamless information flow and task handoffs
- Field inbound communications from clients and stakeholders and route them appropriately
- Support client communication logistics including preparation of contact lists, mailing distributions, and scheduling
- Manage data entry and record-keeping for the Compensation Intelligence team’s operational systems
- Manage vendor and supplier relationships relevant to survey administration and follow-up, including invoice approval and renewal tracking
- Serve as the primary point of contact for scheduling and logistics for the client services team
- Maintain an accurate inventory of team resources, subscriptions, and vendor contracts
Requirements
- Strong service orientation and a genuine interest in enabling others to do their best work
- Experience with project management or task-tracking tools (Asana, Monday.com, Trello, or equivalent)
- Detail-oriented with a strong track record of accuracy in administrative and operational tasks
- Proven ability to take initiative and resolve operational issues without requiring constant direction
- Prior experience in a professional services, consulting, or advisory firm environment preferred
Preferred Qualifications
- Experience supporting team onboarding and orientation processes
- Familiarity with CRM systems (Salesforce, HubSpot, or similar)
- Prior experience managing meeting logistics for distributed or remote teams
- Experience supporting external communications or client-facing correspondence
