About the Role

The Practice Manager is the financial and operational leader of the Hospital, working with hospital leadership and Community Veterinary Partners to ensure efficient day-to-day operations and successful financial performance. The Practice Manager leads by example to motivate and inspire the team to provide excellent experiences for our clients and their pets.

Responsibilities

  • Human Resources
    • Administer all human resource functions including staff recruitment, hiring, training, scheduling, performance evaluations, counseling, and terminations.
    • Manage annual performance evaluations and conduct evaluations for supervised staff with assistance from the department lead.
    • Implement and maintain Employee Safety and Disaster Plan procedures and manuals.
    • Ensure compliance with OSHA and Workers’ Compensation programs.
    • Distribute communication materials to staff, including policy changes, meeting discussions, and client feedback.
    • Mediate personnel grievances and document all reprimands and counseling meetings.
  • Operations
    • Keep CVP management informed of relevant issues regarding staff, client concerns, premises, or equipment needs.
    • Respond to and resolve client concerns in a timely manner, partnering with the Lead Veterinarian and RDO for medical complaints.
    • Implement marketing activities in partnership with CVP and the Lead Veterinarian.
    • Ensure premises, physical plant, and equipment are safe, clean, and in optimum working condition, including scheduling regular maintenance.
    • Ensure compliance with all regulatory issues, including radiation monitoring, business permits, licenses, and animal control ordinances.
    • Maintain and amend client education handouts as needed.
    • Oversee inventory purchasing and management within budget guidelines.
    • Schedule and attend all required meetings, including staff meetings and hospital leadership team meetings.
    • Administer the hospital’s patient reminder system.
    • Oversee implementation of the client wellness program and monitor compliance in partnership with CVP.
    • Monitor the hospital email and manage the hospital practice management system.
  • Marketing
    • Monitor, implement, and evaluate client communications (e.g., direct mail, signage, social media accounts).
    • Ensure the marquee is updated with timely messages.
    • Lead the development of referral relationships with humane societies, pet stores, and other community partners.
    • Attend community functions to build the potential client base.
  • Financial
    • Participate in the yearly budgeting process, monthly P&L reviews, and discuss weekly financial reports with the lead doctor.
    • Proactively monitor the hospital’s financial progress, analyze results, and adjust to ensure budget goals are met.
    • Partner with RDO to submit capital expense requests per CVP guidelines.
    • Verify accuracy of vendor statements and match appropriate invoices to statements.
    • Prepare the weekly CVP Business Package.
    • Manage the bi-weekly payroll process.
    • Oversee daily cash, check deposits, and manage local banking relationships.
  • Work scheduled shifts to provide client service and/or direct patient care as needed.
  • Supervisory Responsibilities
    • Manage all hospital team members.

Requirements

  • 4+ years of hospital management experience, preferably in Emergency/Specialty.
  • College degree preferred.
  • Certification in Veterinary Practice Management preferred.
