About the Role

The Practice Assistant (PA) provides high-level administrative support to an assigned group of legal professionals, including partners, counsel, senior associates, and others. PAs are cross-trained to support multiple groups and are part of an onsite support team, with a hybrid work schedule available after the initial training period. This role is based in New York City, NY.

Responsibilities

  • Prepare documents quickly and accurately, proofread work, and offer suggestions for improvement.
  • Answer phones promptly and professionally, gather information, and prepare timely messages.
  • Manage calendars, anticipate and arrange meeting logistics, and inform callers of attorney availability.
  • Maintain knowledge of ongoing cases, anticipate next steps, and prepare for court filings.
  • Open new matters, prepare engagement letters, and maintain up-to-date contact lists.
  • Assist with tracking CLE requirements and attorney renewals.
  • Support practice development initiatives, manage attorney social media accounts, and maintain desk procedures.
  • Coordinate copy, print, fax, and shipping services, and maintain organized files.
  • Assist with time entry, billing, and travel arrangements for assigned timekeepers.
  • Process expenses and invoices promptly and accurately.
  • Pursue professional development, stay updated on jurisdictional rules, and share knowledge with the team.
  • Embrace new technical solutions and attend firm-sponsored training.

Requirements

  • 3+ years of relevant experience within a law firm setting.
  • Bachelor’s Degree required; experience in lieu of a degree will be considered.
  • Notary Public certification preferred.
  • Excellent verbal and written communication skills.
  • Attention to detail and ability to handle difficult situations and meet deadlines.
  • Strong interpersonal skills and ability to work with personnel at all levels.
  • Proficiency in Microsoft Office Suite (Excel, PowerPoint).
  • Ability to work independently with minimal supervision.
  • Willingness to learn new skills involving litigation law.

Pay

The anticipated annual salary range for this position in New York, NY is $77,000 to $110,000. This role may also be eligible for additional contingent compensation based on factors such as performance, location, experience, and qualifications.
