Power Inclusion for People with Disabilities @ A Night Out with PROVAIL

About the Role

PROVAIL is seeking volunteers to assist our events team during Powering Inclusion, a prestigious evening dedicated to celebrating diversity and promoting inclusivity in our community. This event brings together leaders, advocates, and supporters passionate about advancing opportunities and equality for individuals with disabilities. Volunteers will support various shifts and positions, with a brief online welcome and training prior to the event, plus onsite training for each role.

Volunteers are welcome to work multiple non-conflicting shifts. Please indicate your preferred position(s) and available times during signup.

Available Shifts & Positions

• Registration Volunteers (4:30–7:00 PM PST)
  • Assist in registering guests, process credit card payments, and provide seating information.
  • Requires basic computer use.
• Registration Packets (4:30–7:00 PM PST)
  • Pull and prepare registration packets for guests.
• Item Pick-Up & Delivery (1:00–5:00 PM PST)
  • Pick up items (desserts, spirits, wine, equipment) in the Seattle area and deliver them to the venue.
  • Requires your own vehicle and ability to transport items.
• Set-Up (2:30–4:30 PM PST)
  • Assist with registration setup, signage placement, table centerpieces, and lifting tables.
  • Must be able to lift 20 lbs.
• Dessert Dash Volunteers (3:00–5:00 PM PST)
  • Place desserts and table tents on Dessert Dash tables.
  • Requires organization and clear handwriting.
• Games/Activations (5:00–7:00 PM PST)
  • Set up and monitor games/activity stations during cocktail hour.
  • Engage with guests, explain rules, and record bidder numbers.
• Raffle Seller (5:00–7:00 PM PST)
  • Sell raffle tickets during the cocktail reception.
  • Must be outgoing and personable.
• Live Auction Raise the Paddle Runner (6:00–9:00 PM PST)
  • Transport recorder sheets from the recording table to the registration table.
  • Must be able to move quickly.
• Live Auction Recorder (6:00–9:00 PM PST)
  • Sit at a table by the stage, record bids, and ensure legible handwriting.
  • Must be 21+ and comfortable with a fast-paced environment.
  • Good hearing required.
• Spotter (6:00–9:00 PM PST)
  • Alert the auctioneer to bids and call out bidder numbers.
  • Meet with the auctioneer beforehand.
  • Must be energetic and able to read nonverbal cues.
• Check-Out (7:00–10:00 PM PST)
  • Assist with closing the auction and packaging auction items for guests.
• Clean-Up Volunteer (8:00–10:00 PM PST)
  • Remove leftover items (e.g., centerpieces) and pack up supplies.
