Post Production VA

About the role

Moon Media is a fast-growing creative agency producing hundreds of short-form videos every month for brands with millions of followers. We're growing, which also means our post-production operation is getting busier. We're looking for a highly organized Post-Production VA who can help keep everything moving behind the scenes.

This is NOT a video editing role. You'll be the operational support behind our post-production team, keeping our Notion boards accurate, tracking priorities and deadlines, following up on blockers, preparing reports, documenting workflows, and making sure our Lead Editor and Head of Operations always know what needs attention.

Responsibilities

• Maintain our Editors' Board and Post-Production Workflow inside Notion.
• Keep video statuses, priorities, assignments, deadlines, and workflow stages accurate.
• Monitor the production pipeline and catch stalled, overdue, expedited, or missing work.
• Keep the Lead Editor updated on priorities, deadlines, blockers, and anything requiring attention.
• Follow up with editors on routine updates, missing links, blockers, and overdue work.
• Track editor productivity and prepare clear daily, weekly, and monthly reports.
• Coordinate routine information between Editors, Operations, and the Lead Editor.

Documentation & Systems

• Create and maintain SOPs for post-production workflows.
• Keep internal documentation, trackers, dashboards, templates, and resources organized.
• Document workflows as you learn them so processes become easier to repeat and train.
• Help us keep our systems clean and scalable as the team grows.

Performance & Research

• Check client social accounts and identify videos that are performing especially well.
• Track and organize top-performing content for the Lead Editor and team to review.
• Prepare simple reports highlighting creative wins, trends, and useful references.

Production Support

As you grow into the role, we'll also train you to:

• Assist with short-form scriptwriting.
• Prepare production briefs.
• Support content and creative research.
• Use AI for reporting, documentation, research, and operational work.

Requirements

• Excellent written and spoken English.
• Extremely organized with strong attention to detail.
• Strong communication and follow-up skills.
• Comfortable juggling multiple deadlines and priorities.
• Able to spot problems instead of waiting for someone else to point them out.
• Comfortable learning and using AI tools.
• Reliable and able to work independently.

Nice To Have

• Experience supporting a creative or content team.
• Experience creating SOPs and documentation.
• Familiarity with Slack and Google Workspace.
• Experience tracking social media performance.
• Understanding of TikTok, Reels, and YouTube Shorts.
• Scriptwriting or production experience.

Schedule

Full-time Monday to Friday 9:00 AM to 5:00 PM EST 1st week and will transition to 6:00 AM to 2:00 PM afterwards (Fixed)
