About the role
The Third Judicial District Court in Las Cruces, New Mexico is recruiting for a Judicial Specialist Leadworker to support the Court Clerk’s Office. This is a senior-level job classification with potential supervisory duties under the mentorship of a supervisor or manager.
Pay
$21.950–$27.711 per hour or $45,656–$57,638.88 annually.
Responsibilities
- Lead, mentor, oversee, and train staff in judicial procedures, court/office functions, and court case document processing.
- Provide customer service information to a high volume of pro-se litigants by offering general procedural information without giving legal advice.
- Use the case management system to:
- Open cases – determine case type/cause of action and assess and receipt filing fees if required.
- Docket cases – review documents, determine appropriate event codes, enter data, scan documents, and link related scanned images.
- Close cases – determine and enter closing events, disposition type, and judgment details.
- Process and expedite orders of protection; set hearings and trials.
- Assess, receipt, record, reconcile monies, prepare bank deposits, and ensure proper cash handling procedures are followed.
- Process, maintain, and distribute documents, files, and case materials.
- Process petitions for Trial Court Extensions of time to proceed to trial.
- Manage and track cases to ensure compliance with case type, appearance dates, sentencing requirements, and follow through with necessary steps, which may include: orders to show cause, bench warrants, recusals, excusals, pleadings, and rule extensions.
- Serve as a liaison with other court staff, state agencies, and the public.
- Verify qualifications forms and questionnaires are properly completed.
- Schedule jurors and create jury panels/pools; maintain and update jury calendars and manage call-ins or robocall systems.
- Maintain cash till and ensure court fees are accurately assessed, paid, receipted, and correctly recorded in the case management system.
- Disburse bond payments and trust funds, and prepare and maintain bond reports.
- Follow proper restitution collection and distribution procedures.
- Ensure the office, its equipment, and courtroom(s) are operational.
- Research and analyze case management issues; audit and correct case files as necessary.
- Serve as information systems site coordinator or backup to site coordinator.
- Oversee micro photography standards and ensure exhibits comply with statutory retention schedules.
- Perform purchasing duties.
- Provide victims with resource and advocacy information.
- Assist with overseeing jury administration; review, sort, and organize jury summons.
- Prepare alpha list, random list, voir dire sheet, and seating chart for jury trials.
- Ensure judicial calendars and schedules are maintained.
- Certify court records, and prepare hard copy case files with tape logs and transcripts for microfilming, scanning, archiving, and destruction.
- Create case tracking number and barcode, scan all files appropriately for file destination, and image case documents in the case management system.
- Research records and comply with public record requests.
- Coordinate program participation with Specialty Programs within the court.
- Analyze court docket operations to develop and implement processes that will improve case management and court services.
- Provide direction and assistance to subordinate staff; participate in short/long-term planning.
- Serve as Court Monitor; may serve as a courtroom clerk, produce Instant J&Ss, and obtain signatures from parties/counsel of record, assigned judge, file, and distribute.
- Provide support to other magistrate or district courts within the judicial district.
- Other duties as assigned.
Qualifications
- High school diploma or GED.
- Four (4) years of experience in court case processing, a legal secretarial or related field such as advanced customer service, data processing, and/or banking/financial experience, of which three (3) years must have been in court case processing.
- Additional post-secondary education in a related field may substitute for up to one (1) year of experience (30 semester hours equals one year of experience).
- A typing certification with a typing proficiency score of at least 35 net words per minute from the NM Department of Workforce Solutions may be required. Certification must have been issued within five (5) days of application.
- May be requested to complete the NM Court Monitor Examination and/or obtain and maintain certification for the National Crime Information Center (NCIC) database.
Skills
- Knowledge of training concepts and project management techniques.
- Familiarity with legal terminology and phrases, filing methods, and case processing.
- Understanding of Specialty Court Programs, research methodology, and safety and security issues.
- Proficiency in court fee accounting practices and court monitoring procedures.
- Knowledge of the Court Clerk’s Procedures Manual and Code of Ethics, court’s and state’s Language Access Policies, and access to the Certified Language International Interpreting Line.
- General understanding of the organizational structure of the judiciary.
- Knowledge and proficiency in Odyssey and/or SHARE is desirable but not required.
- Ability to communicate in Spanish is preferred but not required.
