Police Operations Coordinator 1

This position assists in overseeing, coordinating, and participating in the management of complex and responsible clerical work for the records division or section of the Police Department. Duties involve specialized procedures and skills, requiring initiative, independent reasoning, and judgment. Must be able to work shifts, weekends, holidays, and adjust regular days off. Vacancies are primarily in the Records Division, but this recruitment may fill openings in other MNPD departments. All positions require an extensive background check; vacancies in Property and Evidence also require a drug test.

Responsibilities

  • Assist with overseeing, coordinating, and participating in clerical work for the department.
  • Assign, coordinate, and review work of others.
  • Assist with training new employees.
  • Coordinate work with other sections and divisions.
  • Recommend and devise improvements for workflow and office procedures.
  • Handle difficult complaints and inquiries in person and by telephone.
  • Complete, check, and process a variety of forms and documents.
  • Sort, check, code, and file letters and documents.
  • Prepare reports for the FBI and National Safety Council.
  • Use advanced data entry techniques, codes, classify, and enter various reports.
  • Communicate with the public and answer questions on departmental policy and procedure.
  • Receive payments and fines, and issue receipts.
  • Assemble data and prepare reports using word processing, databases, and spreadsheets.
  • Compile and maintain records such as personnel files, budget information, and financial documents.
  • Testify in court proceedings as needed.
  • Run criminal histories on victims and suspects.
  • Collect, compile, validate, and organize crime or intelligence data from multiple sources (e.g., incident reports, databases, CAD/RMS, open-source, social media).
  • Produce statistical summaries, reports, graphics, maps, or other visualizations to support law enforcement decision-making.
  • Obtain and analyze statistical information, prepare statistical reports, and manage spreadsheets.
  • Maintain composure under stressful situations and ensure confidentiality of records and investigations.
  • Maintain good working relationships with co-workers, government partners, and private sector/non-profit organizations.

Requirements

  • High School Diploma or equivalent and four (4) years of increasingly responsible clerical experience, preferably in a public safety setting. Additional education may substitute for experience (1:1 ratio).
  • Valid Driver License.
  • NCIC Certification must be obtained within the first six months of employment.
  • Residency in the State of Tennessee or willingness to become a resident within six (6) months of employment.

Skills

  • Proficiency in Microsoft Word, Access, PowerPoint, Excel, and RMS for research and data entry.
  • Knowledge of departmental policies, standard operating procedures (SOPs), rules, and relevant laws.
  • Ability to maintain confidentiality and handle sensitive information.
  • Strong communication skills for interacting with the public and colleagues.

Preferred qualifications include existing NCIC Certification.
