About the role

The Physicians' Office Receptionist/CNA serves as both the front office representative and a clinical support team member for Hopedale Medical Complex's Medical Arts and Satellite Offices.

Responsibilities

  • Open and prepare the office for daily patient operations.
  • Greet patients professionally and verify demographic, insurance, and registration information.
  • Answer incoming telephone calls, schedule appointments, route calls, and accurately document messages.
  • Schedule appointments according to provider availability and office protocols.
  • Collect copayments and other patient payments at the time of service.
  • Schedule follow-up appointments and provide appointment reminders.
  • Complete laboratory, imaging, and outpatient service requisitions.
  • Review encounter forms for completeness and verify diagnosis and procedure coding prior to submission.
  • Maintain provider schedules and coordinate consulting physician appointments.
  • Order and restock office supplies.
  • Perform daily opening and closing procedures.
  • Perform other administrative duties as assigned.

Clinical Responsibilities

  • Prepare visit paperwork and ensure required documentation is available prior to patient appointments.
  • Escort patients to examination rooms while maintaining privacy and HIPAA compliance.
  • Obtain and document vital signs, patient history, medication lists, allergies, and chief complaints.
  • Absorb and assist physicians and nursing staff during examinations and office procedures.
  • Prepare examination rooms and maintain appropriate equipment and supplies.
  • Complete clinical documentation accurately and promptly within the electronic medical record.
  • Prepare laboratory and diagnostic imaging requisitions accurately.
  • Provide patient education and reinforce physician instructions regarding medications, treatments, and follow-up care.
  • Notify patients of physician-reviewed test results and instructions in accordance with office protocols.
  • Schedule referrals to specialists and ancillary services as directed.
  • Assist with filing, scanning, and maintaining medical records.
  • Absorb and assist consulting specialists and their clinical staff during specialty clinics.

Requirements

  • High school diploma or equivalent required.
  • Current Certified Nursing Assistant (CNA) certification, Medical Assistant certification, or equivalent clinical training preferred, depending on position requirements.
  • Current Basic Life Support (BLS/CPR) certification or ability to obtain upon hire.
  • Excellent customer service, communication, and interpersonal skills.
  • Strong organizational skills with the ability to multitask in a fast-paced environment.
  • Proficiency with Microsoft Office and electronic medical record systems.
  • Knowledge of medical terminology required; familiarity with ICD-10 and CPT coding preferred.
  • Venipuncture experience preferred.
  • Ability and willingness to work at Medical Arts and all Satellite Office locations.
  • Availability to work Saturday mornings as scheduled.
