Key Responsibilities
- Manage and maintain physician calendars, meetings, and travel schedules.
- Anticipate scheduling conflicts and coordinate effectively with physicians, staff, and external partners.
- Screen and prioritize calls, emails, and correspondence on behalf of physicians.
- Cook up and prepare agendas, minutes, and documents for meetings.
- Ensure credentialing, licensing, and compliance records are accurate and current.
- Maintain strict confidentiality of medical, financial, and organizational information.
- Provide support for physician projects, organizational memberships, and special events.
- Serve as a liaison between physicians, staff, and outside contacts.
- Occasionally provide after-hours support for physician scheduling calls, if needed.
Qualifications
- A high school diploma is required; a bachelor’s degree is preferred.
- At least 5 years of relevant administrative experience in healthcare, hospital, or private practice settings.
- Proficiency in Microsoft Office Suite; EMR experience is highly valued.
- Strong interpersonal and communication skills, with the ability to build trust and maintain professionalism.
- Prioritize, manage interruptions, and meet deadlines in a fast-paced environment.
- Demonstrated reliability, punctuality, and confidentiality.
Schedule & Compensation
- Status: Non-exempt, approximately 80–90 hours per bi-weekly pay period.
- Work Hours: 7:00 a.m. – 3:30 p.m., with a 30-minute lunch break.
- Occasional after-hours availability: Respond to urgent physician scheduling needs (infrequent).
