As a Personal Injury Case Manager, you'll be the steady, reassuring point of contact who guides injured clients through what is often a stressful and unfamiliar process while keeping their cases organized and moving. Exceptional client support is at the heart of this role: you'll check in on clients' recovery, keep them informed, and make sure they feel genuinely cared for from intake through settlement. Alongside that, you'll track high stakes deadlines, coordinate medical treatment and records, manage insurance, repairs, and keep attorneys aligned. What You'll DoDeliver Exceptional Client SupportServe as a warm, reliable point of contact for clients throughout their caseComplete client introductions and maintain regular check ins on treatment and recoveryRespond to client questions and concerns promptly and with empathyCoordinate reassignment communications and follow up with non responsive clients to keep them engaged in their treatment and caseFacilitate smooth communication between attorneys and clientsManage Treatment, Records & InsuranceMonitor clients' medical treatment, flag gaps in care, and track progress toward maximum medical improvementOrder, follow up on, and organize medical records and billing from providersIdentify and track all applicable insurance coverage, including at fault/liability, UM/UIM, MedPay, and health, along with carriers, claim numbers, adjusters, and policy limitsNegotiate with medical providers to help maximize the client's net recoveryTrack medical and health insurance liens, including Medicare and Medi Cal where applicable, and letters of protection, and support timely resolutionCoordinate vehicle repairs and property damage resolution for auto accident clientsAssemble demand packages and track demand and settlement deadlinesPrepare the client's settlement breakdown of costs, expenses, and liens once a case settlesKeep Cases MovingAttend attorney meetings and capture key decisions, action items, and deadlinesKeep case blueprints and the case management tracker current with case status, treatment status, and progressMonitor critical deadlines, including the Statute of Limitations, UM/UIM demand deadlines, and demand/settlement deadlines; track court deadlines for cases in litigationKeep cases advancing from intake through treatment, demand, and settlement, following up so nothing stallsTrack case progress and report updates during team meetingsCoordinate Scheduling & CoverageSchedule and coordinate depositions, medical examinations (IME/DME), mediations, and hearingsResolve scheduling conflicts in coordination with attorneysMonitor team communications to ensure scheduling needs are addressed quickly Requirements At least one year of experience in personal injury case management (preferred)Fluent in Spanish (preferred)Genuine customer service mindset, empathetic, patient, and proud to make clients feel cared forStrong organizational and time management skills: you can juggle multiple priorities without dropping the ballClear, confident written and verbal communicationA proactive mindset: you spot problems before they become emergenciesA collaborative team player who works well across departments, including comfort coordinating with medical providers and insurance adjustersComfort reading and organizing medical records and bills is a plusMust be flexible and comfortable working extended hours as needed to support litigation deadlines, trial schedules, and case demandsThis is a full time, on site role. Standard hours are Monday through Friday, 9:00 a.m. to 6:00 p.m., with overtime required when necessary to meet litigation deadlines, trial schedules, and case demands.
