About the role

This Personal Brand and Experience Coordinator is not a traditional assistant role. This person helps create polished, thoughtful, and memorable experiences for clients, realtor partners, and event attendees while helping keep the brand visible, organized, and consistent. This role supports the growth of a Producing Sales Leader's mortgage business through marketing execution, event coordination, client experience, realtor relationship support, lead follow-up, CRM support, and proactive business development support.

What you’ll be doing

  • Supporting marketing strategy, branding, content creation, and monthly marketing execution.
  • Collaborating on annual marketing vision and monthly priorities.
  • Preparing flyers, branded materials, presentations, and other marketing assets.
  • Planning, scripting, filming, editing, posting, and monitoring social media content and engagement.
  • Tracking social media performance, marketing results, campaign activity, and providing recommendations.
  • Managing client and partner touchpoints including birthday cards, home anniversary cards, referral thank-you notes, closing gifts, Christmas cards, ornaments, Letter of the Heart, quarterly pop-bys, and other mailings.
  • Requesting, tracking, following up, and repurposing Google reviews, testimonials, and client success stories.
  • Coordinating monthly Huddle & Hustle events, realtor events, client events, and other business development events from start to finish.
  • Managing event details including speakers, planning calls, agendas, run-of-show, sponsorships, logistics, promotion, event-day coordination, and post-event follow-up.
  • Tracking realtor and agent interactions, scheduling quarterly partnership meetings, and supporting realtor relationship-building efforts.
  • Entering new leads into the CRM and following up on introductory calls until an application is received or the lead responds.
  • Following up on applications started but not submitted.
  • Tracking credit pulls, new leads, new applications, and key activity to provide a weekly team dashboard.
  • Tracking expenses, submitting expense reports, and providing feedback or recommendations as needed.
  • Making calendar confirmation calls on behalf of the Producing Sales Leader and helping to keep important client, agent, and business development tasks on track.
  • Managing the email of the Producing Sales Leader.
  • Leveraging Atlantic Bay marketing resources, systems, templates, vendors, and support teams when appropriate.
  • Bringing proactive ideas, inspiration, solutions, and organization to help move marketing, events, client experience, and relationship-building efforts forward.

What you’ll bring

  • 1–2 years’ experience in the mortgage industry as a Loan Officer Assistant preferred
  • Knowledge of Microsoft Office suites including Word, Excel, PowerPoint, Outlook
  • Strong social media skills and database management
  • Professionalism and strong communication skills (both in person and via phone/email)
  • Comfortable and confident communicating directly with clients, realtor partners, and event attendees
  • Proactive, high energy, self-starting and solution-minded
  • Creative with strong follow-through and able to balance polished execution
  • Extremely organized, detail-oriented, and able to prioritize tasks
  • Ability to work with all levels and varying positions of staff
