About the Role

A ultra-high-net-worth employer in Los Angeles is seeking a highly organized and experienced personal assistant. This role requires managing the day-to-day personal, household, and administrative needs of the principal. The ideal candidate is proactive, discreet, and adaptable, serving as the primary liaison between the principal, household staff, vendors, and external business contacts to ensure seamless daily operations across multiple properties and commitments.

Responsibilities

  • Manage and maintain complex personal and social calendars.
  • Coordinate private appointments, personal reservations, events, and family commitments.
  • Arrange high-end domestic and international travel, including private aviation, commercial flights, luxury accommodations, ground transportation, and custom itineraries.
  • Manage travel logistics, passport/visa renewals, packing details, and emergency travel contingencies.
  • Oversee and collaborate with estate staff (housekeepers, chefs, drivers, security, contractors, groundskeepers) to ensure smooth operations.
  • Liaise with vendors, service providers, and property managers for ongoing maintenance, repairs, and renovations across primary and secondary residences.
  • Perform personal errands, luxury purchasing, inventory oversight, and gift procurement.
  • Manage personal mail, correspondence, and initial screening of incoming requests.
  • Process personal expense reports, review invoices, manage credit card reconciliations, and coordinate with the family office/accounting team.
  • Plan and execute private dinners, family holidays, social gatherings, and philanthropic events.
  • Source, negotiate with, and supervise caterers, florists, event planners, and entertainment vendors.

Requirements

  • Experience as a personal assistant, estate manager, lifestyle assistant, or executive assistant.
  • Absolute commitment to privacy, confidentiality, and professional boundaries.
  • Exceptional written and verbal communication skills; polished, professional demeanor.
  • Proficiency with Apple/iOS and Microsoft Office Suite.
  • Extensive familiarity with Greater Los Angeles, including top-tier service providers, private dining, and vendor networks.
  • Exceptional problem-solving skills and forward-thinking anticipation of family needs.

Pay

$120,000 – $185,000
