People Operations Generalist
About the Role
TopDog Law is looking for a detail-obsessed, fast-executing People Operations Generalist to own the bridge between Talent Acquisition and People Operations — from signed offer through Day 1 and beyond — while building the documentation and process infrastructure the People team needs to scale. This role is built for someone who has done this before, moves fast without dropping details, and can build a process from scratch when one doesn't exist. This is an execution-first, high-volume, mid-level role.
Responsibilities
- Serve as the bridge between Talent Acquisition and People Operations — partnering directly with recruiters to ensure a clean, complete handoff from signed offer into pre-boarding and onboarding
- Own high-volume onboarding end-to-end: pre-boarding through Day 1 and first-week completion for every new hire
- Draft and manage complex offer letters, promotional letters, and role change agreements (RCAs), including compensation change notifications
- Initiate, track, and resolve background checks (Checkr or similar) through completion — flagging and escalating issues before they threaten a start date
- Run intake calls with hiring managers to build individualized onboarding plans and coordinate onboarding partners, mentors, and buddies for each new hire
- Partner directly with IT to order, track, and confirm new-hire technology and equipment arrives before start date
- Host a weekly Day 1 orientation and new-hire experience, serving as the primary point of contact for new hires through their first week
- Execute data entry across HRIS/ATS systems at 100% accuracy — no exceptions, no matter the volume
- Build SOPs and documentation for onboarding, background checks, and People Ops workflows that aren't formalized today
- Treat pre-boarding and onboarding as a craft, not paperwork — constantly look for ways to improve the experience and tighten the process
- Identify process gaps and propose fixes proactively — not just execute what's handed to you
- Support ad hoc People team projects and employee communications as needed
Requirements
- 3–5+ years of experience in People Operations, HR Coordination, or onboarding-heavy recruiting operations — this is not an entry-level role
- Genuine enthusiasm for the pre-boarding and onboarding phase of the employee lifecycle — you see it as a craft worth perfecting, not paperwork to push through, and you're always looking for ways to make it better
- Demonstrated ownership of high-volume onboarding: offer letters, background checks, and cross-functional coordination (Recruiting, IT, hiring managers)
- Thrives in a startup-style environment: scrappy, resourceful, and energized by high volume rather than drained by it
- Proven ability to build process and documentation from scratch, not just execute an existing playbook
- Exceptional written communication — offer letters and RCAs require precision and zero errors
- 100% attention to detail sustained across high-volume data entry and HRIS management — no exceptions
- Comfortable running intake calls and managing stakeholders directly, including hiring managers and recruiters
- Ability to handle confidential compensation and employee information with discretion
- Moves with urgency and sound judgment; prioritizes progress over perfection
- Experience operating in scrappy, resource-lean environments with shifting timelines and fast turnaround expectations on deliverables
- Resourceful and self-directed — takes initiative and figures out a path forward rather than waiting to be told what's next
- Comfortable partnering across a distributed, cross-border People Operations team
Preferred Qualifications
- Rippling or similar ATS/HRIS experience
- Checkr or similar background check platform experience
- Experience scaling onboarding in a fast-growing or high-volume environment
- Experience in legal, professional services, or client-centric organizations
Core Values
- Embrace Change: Open to feedback, embracing change, and always asking "what's next?"
- Committed: You care deeply, have your teammates' backs, and show up to build something lasting.
- No-Ego Energy: Positive, professional, and solutions-oriented. Drama stays at the door.
- Ownership: You do what you say, follow through, and treat the business like it's yours.
