Pediatric Program Coordinator

About the Role

As the Pediatric Program Coordinator for the Partners for Healthy Students program, you will coordinate and administer key functions including admissions, data acquisition and processing, accounting, fund-raising, and public relations to efficiently provide healthcare services to patients and families. You will develop and implement health education materials and programs tailored to children and families, manage clinical and office inventories using Material Management’s Systems, and oversee internal program charges.

Responsibilities

  • Coordinate reconciliation with Patient Financial Services, Materials Management, and dietary departments.
  • Provide oversight and guidance to school nurses and personnel for intake, eligibility, admission, and referral processes.
  • Facilitate referrals to community agencies when health or social issues are identified.
  • Manage inventory for clinical and office supplies, maintaining appropriate par levels.
  • Oversee and coordinate administrative activities to ensure efficient program operations.
  • Guide school nurses and personnel through patient scheduling with parents and school staff.
  • Respond to parent, patient, and community inquiries regarding services and billing, using sensitive customer relation skills.
  • Coordinate inquiries about services, determine eligibility, and schedule appointments as needed.
  • Facilitate referrals to community resources, including but not limited to:
    • Kidscare/AHCCCS
    • Yavapai County Community Health Services
    • ADHS Immunization Division and ASIIS
    • YRMC Ancillary Services
    • Arizona School for the Deaf and Blind
    • Lion’s Club
    • American Academy of Pediatrics’ Medical Services Project
    • Shriner’s Children’s Hospitals and Clinic
    • Mental health providers
    • Child Find
    • Arizona Early Intervention Program
    • Physician offices
  • Coordinate all dental services and referrals.
  • Manage all referrals to community resources while adhering to YRMC/HIPAA confidentiality guidelines.
  • Maintain and organize medical records in a confidential manner according to hospital and Health Information Management standards.
  • Manage medical information, including scanning and data entry in the Electronic Medical Record (EMR).
  • Maintain appropriate medical record coding according to YRMC standards.
  • Ensure clinical standards of care are met by recording follow-up inquiries and documenting them in the medical record.
  • Obtain current medical data, such as immunization records, to support quality healthcare delivery.

Requirements

  • Two (2) years of experience as a Medical Assistant or Licensed Practical Nurse.
  • Two (2) years of clinical pediatric experience, preferably in a clinic, hospital, or school setting.
  • Experience utilizing reporting and query tools.
  • Valid Arizona Driver’s License and automobile insurance.
  • AHA Basic Life Support – CPR (AHA BLS) and First Aid (FAC) certification.
  • One of the following certifications:
    • Certified Clinical Medical Assistant (CCMA)
    • Licensed Practical Nurse: AZ (LPN: AZ)
    • Registered Medical Assistant (RMA-AAH or RMA)
    • Certified Medical Assistant AMCA (CMA-AMCA)
    • Certified Medical Assistant NHA (CMA-NHA)
    • National Certified Medical Assistant NCCT (NCMA)
    • Certified Medical Assistant AAMA (CMA)
    • National Registered/Certified Medical Assistant NAHP (NRCMA)
  • Ability to work with children and families across all developmental levels.
  • Experience caring for patients with infectious diseases.
  • Strong organizational and multitasking skills to prioritize complex duties and problem-solve effectively.
  • Excellent communication, interpersonal, and liaison skills, with the ability to communicate under stressful situations.
  • Flexibility, patience, humor, and strong stress management skills.
  • Ability to approach all patients and families objectively, regardless of socioeconomic background or health condition.
  • Familiarity with medical terminology.
  • Willingness to learn to drive/operate a mobile clinic for emergency purposes.
  • Computer literacy with proficiency in Microsoft Windows and Google Workspace.
  • Ability to accurately and efficiently enter and extract data.
  • Current AZ DPS Level One Fingerprint Clearance Card (required within seven (7) days of hire).

Preferred Qualifications

  • One (1) year of healthcare administrative experience.
  • Experience with Electronic Medical Record (EMR) systems, specifically Cerner.
  • Licensed Practical Nurse: AZ (LPN: AZ).
  • Bilingual in Spanish.

Benefits
