About the Role
The Payroll Support Coordinator provides administrative and operational support to the Payroll Department by maintaining employee data, preparing reports, and coordinating payroll support functions. This position works closely with Payroll, Human Resources, Accounting, and Operations to ensure employee information is accurate and compliant. This position does not process payroll.
Essential Functions and Responsibilities
- Collaborate with Payroll, Human Resources, Accounting, and Operations to maintain accurate employee records.
- Respond to employee and management questions regarding payroll records, wage updates, and employee information.
- Maintain strict confidentiality of employee and payroll information.
- Identify opportunities to improve payroll administrative processes and documentation.
- Aid with special projects and other payroll support responsibilities as assigned.
Employee Data Management
- Set up all new hires in ADP and ensure employee information is entered accurately and completely.
- Review the Daily New Hire Report to verify employee records and resolve discrepancies.
- Process approved employee wage changes.
- Update non-union job assignments and wage changes within ADP.
- Process union employee terminations and maintain accurate employee records.
Reporting & Compliance
- Maintain the OCIP (Owner Controlled Insurance Program) Report.
- Generate and distribute the Weekly Labor Hours Report and serve as backup support as needed.
- Aid with payroll-related reporting, audits, and data reconciliation.
- Maintain payroll documentation and support compliance with company policies and applicable regulations.
- Prepare and submit monthly union dues payments for applicable locals.
Minimum Education & Experience Required
- To perform essential functions, an associate degree in Business Administration, Accounting, Human Resources, or related field is preferred, or equivalent experience.
- One to three years of payroll support, HR, accounting, or administrative experience is preferred.
- Experience with ADP Workforce Now (or similar HCM system) and Microsoft Office, including Excel, is preferred.

Environmental Adaptability
- Prolonged periods of sitting at a desk and working on a computer.
- Occasional visits to a job site which would require periods of standing, walking, and/or climbing stairs.
- Ability to lift 10 pounds occasionally.
