We are looking for an experienced Payroll Supervisor/Manager to join a university environment in New York, New York. This contract opportunity is ideal for a payroll specialist who can oversee end-to-end payroll operations, maintain compliance, and support related accounting activities in a fast-paced setting.
Responsibilities
- Oversee complete payroll processing for employees paid on different schedules, ensuring accurate and timely submission through an external payroll provider.
- Maintain payroll data by applying tax updates, employee status changes, benefit deductions, and onboarding information while reviewing large volumes of timesheets and time records for accuracy.
- Administer payroll support activities for student workers and other support staff, including time record coordination and paycheck distribution.
- Supervise payroll recordkeeping, manage annual payroll file setup, retain audit documentation, and coordinate the preparation and distribution of year-end wage statements.
- Monitor union-related payroll deductions and reporting obligations to support ongoing compliance requirements.
- Prepare payroll-related labor entries and post distributions to the general ledger in alignment with accounting standards.
- Work closely with the payroll vendor to investigate and resolve payroll processing discrepancies and tax-related issues.
- Support audit and tax reporting needs by assembling schedules, responding to inquiries, assisting with year-end requests, and contributing to organizational tax filing preparation.
- Provide back-up support for accounts payable and assist with daily accounting operations as well as special projects when needed.
- Partner with hiring and academic departments to align pay schedules, validate compensation details, and ensure accurate payroll processing for adjunct faculty and other employee groups.
Requirements
- At least 5 years of payroll experience, including substantial hands-on responsibility for full-cycle payroll processing.
- Demonstrated ability to manage payroll for a large workforce, including experience handling multi-state and high-volume payroll environments.
- Strong knowledge of payroll tax regulations, wage compliance requirements, and payroll reporting practices.
- Experience working with ADP Workforce Now and familiarity with Banner or comparable financial or HR systems is preferred.
- Advanced Microsoft Excel and Word skills with the ability to analyze data and prepare accurate payroll-related documentation.
- Bachelor’s degree in Accounting is preferred.
- Background in higher education, university accounting, or a similar institutional setting is a plus.
- Excellent organizational, analytical, and customer service skills with the ability to work independently and manage detailed, complex tasks accurately.
