About the role
We are seeking an experienced Payroll Specialist to manage the end-to-end payroll processing for approximately 1,000 employees across multiple U.S. states. This role plays a critical part in ensuring accurate, compliant, and timely payroll operations, supporting employees, and partnering with HR, Finance, and other teams.
Responsibilities
- Process bi-weekly, semi-monthly, and monthly payroll accurately and on schedule
- Administer multi-state payroll processing, including state and local tax compliance
- Calculate wages, salaries, bonuses, overtime, tax withholdings, garnishments, and deductions
- Maintain and audit employee payroll records, including new hires, terminations, promotions, and job changes
- Ensure compliance with federal, state, and local payroll laws (FLSA, wage & hour, tax regulations)
- Manage payroll documentation such as timesheets, direct deposits, W-2s, W-4s, and payroll adjustments
- Respond to employee payroll inquiries, resolve discrepancies, and provide exceptional customer support
- Collaborate cross-functionally with HR, Accounting, Finance, IT, and external payroll vendors
- Ensure data integrity, confidentiality, and compliance with company policies
Requirements
- 2+ years of payroll processing experience, preferably in a high-volume, multi-state environment
- KRONOS / UKG Workforce Management experience preferred
- Advanced Microsoft Excel skills (VLOOKUP, Pivot Tables, formulas, data analysis)
- Strong knowledge of U.S. payroll laws, tax regulations, and compliance standards
- Certified Payroll Professional (CPP) or FPC designation (preferred)
- Exceptional attention to detail, accuracy, and problem-solving skills
- Strong organizational and time-management abilities with the ability to meet strict deadlines
- Excellent written and verbal communication skills
- Ability to handle confidential information with professionalism and discretion
- Experience working with payroll systems such as: ADP, U.K.G., Kronos, Paychex, SAP, Workday
