About the role

The Lead Payroll Specialist plays a vital role within the finance and HR teams, overseeing the accurate and timely processing of payroll for hourly and salaried employees. This position serves as a key escalation point for complex payroll issues, ensuring compliance with federal, state, and local regulations. The role involves conducting detailed audits, managing payroll imports, analyzing data, and posting payroll information to the HRIS WorkForceNow system. The Lead Payroll Specialist also leads payroll reconciliations, supports tax administration activities, and drives process improvements to enhance efficiency and accuracy. This remote position requires a proactive individual capable of managing multiple priorities, working under tight deadlines, and contributing to a high-functioning payroll team.

Responsibilities

  • Perform accurate and timely payroll processing for hourly and salaried employees, ensuring compliance with internal policies and legal requirements
  • Utilize ADP and Central Reach systems to gather time and attendance data
  • Review and process off-cycle checks as needed, ensuring accuracy and timeliness
  • Conduct pre-payroll report reviews to identify and correct errors or omissions
  • Support bi-weekly payroll processing, including balancing and researching discrepancies
  • Respond promptly to administrative inquiries related to payroll
  • Assist in developing and implementing process improvements for payroll operations
  • Analyze payroll transactions for compliance with policies and regulations
  • Partner with other departments and third-party administrators to ensure timely payroll tax filings and amendments
  • Oversee weekly payroll tax audits and maintain accurate payroll tax records
  • Ensure adherence to internal controls, company policies, and regulatory requirements
  • Stay updated on multi-state regulatory changes and adjust payroll processes accordingly

Qualifications

  • Associate or bachelor's degree from an accredited college or university, or 3–4 years of relevant payroll experience
  • Proven experience processing multi-state payrolls preferred
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Access, Outlook)
  • Strong analytical skills and attention to detail
  • Ability to interpret technical instructions and regulatory requirements
  • Excellent written and verbal communication skills
  • Ability to prioritize tasks and meet strict deadlines in a fast-paced environment
  • Reliable internet connection and suitable home office setup for remote work
