About the role
This advanced-level Payroll Specialist position reports to the VP of HR and is responsible for all payroll functions, including analysis, research, and compliance with payroll rules, regulations, and government requirements. The role serves as the primary liaison to payroll processing vendors, internal and external auditors, and may lead projects or act as a liaison between departments or outside organizations.
Responsibilities
- Analyze, audit, prepare, and input payroll data using ADP Workforce Payroll system.
- Process and distribute biweekly payroll in a multi-state environment, ensuring compliance with federal and state regulations.
- Administer ADP Etime System for time and attendance, including acting as the first point-of-contact for employees on time entry, resolving issues, preparing reports, and conducting audits for data integrity.
- Process 401K contributions and deferred compensation payments, including file uploads of election changes, verifying contributions, and processing Medicare deductions on vested deferred compensation.
- Process wire transfers to plan administrators for both 401K and deferred compensation contributions.
- Ensure timely and accurate year-end processing of employee W-2's, including additional income such as taxable relocation expenses and employer-sponsored health coverage.
- Process biweekly file transfers of employee profile changes for the company's stock administrator and post RSU and SAR stock transactions for taxing purposes.
- Process quarterly reports and payments of voluntary deductions (e.g., United Way, Energy Independence PAC) and required deductions (e.g., Pennsylvania Local Services tax).
- Create and distribute custom reports such as employee headcount, new hires, and overtime as requested by various departments.
- Oversee all payroll procedures, including analysis, design, and implementation of changes to ensure best practices and compliance with company policies.
- Identify and assist in implementing new systems and processes for continuous improvement in accuracy.
- Responsible for proper entry of garnishments, tax levies, and support orders.
- Maintain and apply knowledge of federal, state, and local legal requirements, ensuring compliance and advising management on necessary actions.
- Ensure proper data entry and tax setup for internal employee transfers.
- Perform other duties and responsibilities as assigned.
Requirements
- High School Diploma (minimum education).
- 8+ years of related, relevant payroll experience.
- Experience with equity-based compensation is a plus.
- Certified Payroll Professional (CPP) certification preferred.
