Position Summary

As our Payroll Specialist, you will play a key role in supporting the College by accurately and efficiently processing payroll while ensuring compliance with applicable laws, regulations, and institutional policies.

Essential Functions

  • Process biweekly payroll for employees, including but not limited to payroll direct deposits, garnishments, wage assignments, and child support orders.
  • Distribute payroll reports and ensure accurate and timely delivery to stakeholders including but not limited to 401(k)/retirement contributions, HSA contributions, and FSA contributions.
  • Review data regarding quarterly and end of year payroll taxes including but not limited to W-2, 1095, and 941 forms.
  • Collaborate with the Accounting and Human Resources Director to resolve payroll-related issues and discrepancies.
  • Analyze payroll data, identify trends or discrepancies, and recommend process improvements to enhance efficiency and accuracy.
  • Stay updated on payroll laws, regulations, and best practices to ensure compliance and mitigate risks.
  • Process payroll audits, compliance reviews, and reporting as required.
  • Reconciliation of accounts for the Fiscal department.
  • Serves as backup for the Accounts Payable Specialist.
  • Perform other duties as assigned.

Requirements

  • Education and Experience Requirements: Associate degree in accounting, finance, or related field or two years of professional payroll or accounting experience or an equivalent combination of education and experience.
  • Proven experience as a Payroll Specialist or similar role, with knowledge of payroll processing procedures and regulations.
  • Strong analytical skills, attention to detail, and ability to exercise discretion and independent judgment.
  • Proficiency in payroll software and MS Office, particularly Excel.
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with cross-functional teams.
  • Knowledge of HR policies and procedures related to payroll, benefits, and compliance.
  • Certified Payroll Professional (CPP) designation preferred but not required.

Physical Requirements

  • Typically, the employee may sit comfortably to perform most work; however, there will be some walking; standing; bending; reaching; and carrying light items.
  • Risks found in the typical office setting, which is adequately lighted, heated, and ventilated, e.g., safe use of office equipment, avoiding trips and falls, observing fire regulations, etc.
