Schedule: Full-time, 40 hours per week, Monday-Friday 7:00am-3:30pm
About the Role
The Payroll Specialist is responsible for accurately processing employee pay weekly by reviewing and verifying employee timecards and hours worked. This role involves assisting with data entry, coordinating and completing manual payroll and maintenance corrections, resetting and monitoring time clocks, and generating reports as needed.
Responsibilities
- Process weekly payroll for all pay groups.
- Prepare information for electronic transfer of payroll funds for the Finance Department.
- Generate manual paychecks to correct payroll errors (e.g., miscalculated hours, incorrect overtime).
- Coordinate and verify all payroll changes for the next week’s payroll by reviewing the weekly change report.
- Maintain and audit vacation and paid time off (PTO) accruals.
- Complete all aspects of wage assignments, garnishments, and verifications.
- Create reports from payroll and timekeeping systems as requested by supervisors or other departments.
- Audit payroll regularly to identify changes or discrepancies and report outcomes to the Director.
- Coordinate year-end payroll tasks, including establishing the next year’s payroll calendar and completing required activities in the system of record.
- Develop and maintain a step-by-step procedure manual for payroll and timekeeping systems for backup personnel.
- Assist Directors/Supervisors with payroll problems by reviewing punch detail reports for missed punches, overtime hours, and non-working badges in the time clock.
- Initiate the termination process in the system and complete all steps on the termination checklist.
- Respond to unemployment claims in the vendor-provided system.
- Address employee inquiries regarding benefits (e.g., health, life insurance, dental), payroll deductions, and general employee queries.
- Create service requests for the system of record as necessary.
- Support learning for new users of payroll and timekeeping systems.
- Provide customer service for human resources and payroll.
- Perform other job duties as assigned.
Requirements
- Associate degree in Human Resources, Accounting, Finance, or a related field, or equivalent of three (3) years of related experience required.
- Bachelor’s degree preferred.
