Essential Duties And Responsibilities
- Aid the Payroll Technician in completing payroll processes accurately and investigating discrepancies as needed.
- Manage the processing of top salary range annual evaluations and merit increases, when applicable.
- Audit a high volume of timecards regularly and meet payroll transmittal deadlines.
- Maintain oversight of the Payroll ResQ system.
- Input and process Leave of Absence timecards for employees on extended leave, including medical, personal, workers' compensation, and other types of leave.
- Track and monitor benefit premiums for employees on inactive status due to extended leave.
- Assist during Payroll Audits and CalPERS calculations.
- Prepare final checks as needed.
- Create and submit check requests and journal entries for monthly deductions such as child support, garnishments, flexible spending accounts, deferred comp contributions, etc.
- Participate in New Staff Orientation by preparing and delivering presentations using PowerPoint or Microsoft Word.
- Propose new procedures based on analysis of payroll issues.
- Manage and update payroll files, removing old files from the office and storing them as necessary.
- Follow up with employees and managers regarding payroll forms for overtime and addendums.
- Ensure good attendance and punctuality.
- Maintain strict confidentiality of payroll-related information.
- Work cooperatively with colleagues and contribute to team harmony.
- Use office equipment appropriately and report any needed repairs.
- Keep the work area neat and organized.
- Adhere to safety rules and participate in injury and illness prevention programs.
- Handle a hybrid work environment, balancing remote and in-office work.
- Communicate effectively via various means, including phone calls, video conferences, emails, and chat rooms.
- Be adaptable to changes and handle new priorities and assignments flexibly.
- Maintain good attendance and punctuality.
- Show good verbal and written communication skills.
- Inform the manager of pending work, ongoing tasks, and encountered problems.
- Utilize agency's IT systems as assigned, ensuring security and following protocols and procedures.
- Attend training sessions as required.
- Comply with and ensure adherence to agency's Personnel Policies and Procedures.
- Perform additional work as assigned.
Minimum Position Requirements
- High school diploma or equivalent.
- At least 2 years of experience in payroll processing.
- Knowledge of calculating minute-by-minute timecards.
- Preferred knowledge of FMLA and CFRA guidelines.
- Knowledge of office practices and procedures.
- Ability to reconcile differences within the record-keeping system.
- Computer skills in Word, Excel, and PowerPoint.
- Proficiency in using ten-key calculators.
- Maintain an elevated level of confidentiality.
- Ability to follow oral and written directions.
- Ability to establish and maintain effective working relationships.
